Administrative Assistant II (Part Time)
The Administrative Assistant reports directly to the Dean of the School of Education. Specifically, the Administrative Assistant provides specialized support to candidates in initial certification and advanced programs. He/she also provides administrative support to the faculty in the School of Education
Essential Duties and Responsibilities:
1. Serves as the administrative assistant for elementary and secondary students in the traditional undergraduate program.
Supports the Chair of Education to ensure timely and effective advising of traditional undergraduates
Post syllabi on Shared Network in the required format
Manages course grading, incompletes, and grade changes
Maintains, updates and audits applicant/student database information
Prepares admittance, provisional, and rejection letters
Verifies traditional undergraduate GPAs every semester
Verifies program completion for MAP statement of traditional undergraduates
Maintains the employment database.
3. Supports Professional Development School Responsibilities
Processes all PDS vouchers
Processes all mentor certificates
4. Manages School of Education Course Schedule
Collaborate with the Chair of Education to complete the School of Education schedule and all revisions
Regularly verify that the live schedule in Jenzabar is accurate for School of Education courses
5. Provides technical assistance in the administration and management of projects for the School of Education.
Manage alumni giving in Slate
Attends Leadership Team Meetings
Collaborates with the Chair of Education to assign advisors and compile comprehensive advisee lists
Assists with office records
6. Provides support for IDT, Reading, and Applied Behavior Program Admissions
Supports directors of advanced programs in IDT, Reading, and Applied Behavior in scheduling and revisions
Manages updates and audits the applicant database
Verifies candidate GPAs every semester
Job Requirements: Education, Experience and Skills:
The appointed individual will:
Have a high School diploma and prior experience as a secretary or administrative assistant.
Demonstrate effective problem-solving skills, flexibility, and the ability to work toward and meet deadlines despite multiple interruptions.
Work independently and for multiple people.
Know about all the school offerings.
Be knowledgeable in technology- based office management tools, such as Microsoft Office, Outlook, Publisher, Access, as well as Jenzabar EX 2.0. Registration, Admission, and Advising Modules, Scanner, Printer, Facsimile, Photo-Copier, Digital Camera, Multi-Line Telephone.
Project a professional demeanor and appearance, as he/she is often the first point of contact for others to the School of Education.
Have strong customer service skills to communicate with prospective students, troubled candidates, parents, and faculty.
Have well-developed organizational and problem-solving skills.
Salary/Hours/Benefits
Minimum Pay Rate: $16.50-$17.34/hour
Part Time - 20hrs per week
(compensation depending on experience, education, and qualifications)
