Medical Records/Administrative Assistant

Riverside Health & Rehabilitation skilled nursing community in Missoula, MT is seeking a Full-time Clinical Administrative Assistant to join their team nursing team.  

The primary purpose of this position is to perform administrative and clerical tasks to support clinical staff and ensure the efficient operations of the nursing unit(s). The role involves maintaining resident records, scheduling medical appointments and transportation services, coordinating communications to residents, families, staff and providers and providing administrative support to ensure the smooth operation of clinical services.

Essential Job Functions, Duties, and Responsibilities

  • Maintain staff calendars, payroll tracking, PDO roll-over reports, and all requests for ID badges & business cards 
  • Manage all workers comp claims and attending any risk-related calls/meetings
  • Maintain itinerary for QAPI meeting; attend & manage notes for all staff & management meetings
  • Maintain & update daily PPD reports
  • Maintain all facility policies for accuracy & reference 
  • Maintain AHCA staffing reports & updates of survey requirements 
  • Maintain updates of OSHA logs, licenses, regulatory inspection reports 
  • Nursing edit completion in Staffing Coordinator absence 
  • Maintain daily agency tracking report & processing of agency expenses 
  • Responsible for processing of invoices & payment for facility expenses 
  • Maintain record of petty cash distribution, monthly reconciliation
  • Track & report on Monthly Nursing Home Guide Check, and Star rating - MDS
  • Other duties as assigned.    

 

Required Skills and Qualifications

Must possess the ability to make independent decisions, follow instructions, and accept constructive criticism. Must be able to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public. Must be able to work with ill, disabled, elderly, and emotionally upset people within the facility. Must be able to speak, write and understand English in a manner that is sufficient for effective communication with supervisors, employees, residents, and families.

 

Education and Experience

  • Minimum High School Education 
  • Minimum of 2 years prior healthcare experience in an administrative, or office manager role preferred 
  • Proficient in Sharepoint, Word, Excel, Powerpoint
  • Excellent communication skills, both verbal & written
  • Prompt and regular attendance mandatory, except for previously planned time off.
  • Must be capable of performing the essential functions of the job, with or without reasonable accommodations.
  • Professional appearance and attitude a must.
