Private Events Manager
The world’s leading soil‑based rooftop farming business, located in the Yard, is seeking a sales‑driven, client‑focused Private Events Manager to lead and grow their social events business at the Brooklyn Navy Yard rooftop farm.
Reporting to the Director of Strategic Sales (P&E), this role manages a wide range of private events while building strong relationships with clients, vendors, and partner organizations. The Private Events Manager represents the company's mission to create sustainable, equitable, and meaningful private events, translating that mission into tailored, high-quality experiences for each client.
This role balances sales, planning, and onsite execution, requiring the ability to shift between forward-looking booking work and real-time, day-of problem solving. The position is accountable for the end-to-end social private events system, from lead generation through post-event follow-up, generating approximately $1M annually in social event revenue, while maintaining strong margins and supporting community engagement efforts.
SCHEDULE:
The Private Events Manager will work full time throughout the year, typically Monday-Friday, approximately 40 hours per week, with occasional onsite weekend work.
ABOUT THE COMPANY:
The company is the world's largest green roof farming business. They grow vegetables, and host programming & events on roofs in Brooklyn, NY. They also design and install green roofs, gardens, and farms for clients ranging from private homes to social headquarters to low-income housing facilities.
KEY RESPONSIBILITIES:
- Social Sales & Pre-Contract Ownership
- Own intake, fit review, and response for all social event inquiries.
- Execute proactive outbound sales strategies to grow social pipeline.
- Conduct inquiry calls, site visits, and walkthroughs.
- Draft proposals and contracts using approved templates.
- Manage social sales pipeline, CRM, and sales calendars.
- Coordinate invoicing and payments with Accounting.
- Maintain strong margins while growing departmental revenue.
- Client Management & Post-Contract Delivery
- Serve as the primary point of contact for social clients.
- Lead planning timelines, walkthroughs, and vendor coordination.
- Communicate clearly with Events Captains, Operations, and internal teams.
- Oversee onsite supervision and execution of social events.
- Ensure the company's standards for hospitality, respect, and sustainability are upheld onsite.
- Manage post-event follow-up, client satisfaction, repeat bookings, and referrals.
TEAM & ONSITE LEADERSHIP
- Transfer day-of execution to Events Captains while maintaining oversight and support.
- Provide onsite supervision as needed to ensure smooth event execution.
- Support Events Captains with clear communication, resources, and preparation.
- Participate in training, feedback, scheduling support, and regular check-ins and reinforces team alignment and integrates Captain insights into event systems.
SYSTEMS, DOCUMENTATION & COLLABORATION
- Own and maintain organized internal systems: CRM, calendars, contracts, notes, and event documentation.
- Draft and update contracts, invoices, and event materials in collaboration with leadership.
- Provide input on website content, lead quality, and marketing strategy.
- Gather testimonials and photos to support marketing and growth efforts.
- Collaborate closely with Programming & Events, Farm, Operations, and other departments to ensure cohesive execution and shared goals.
- Support community engagement and public-facing programming as needed.
THE IDEAL CANDIDATE:
- 2 years of event management experience (weddings preferred)
- Minimum 1 year of Tripleseat sales experience
- Strong CRM and client funnel management experience
- Excellent written and verbal communicator across varied communication styles
- Skilled at setting expectations and converting “no” into opportunity
- Hospitality-driven, people-first, and sales-oriented
- Self-motivated, organized, detail-oriented, and systems-minded
- Collaborative team player with leadership instincts
- Comfortable using Google Drive, Excel, and spreadsheets
- Passionate about sustainability, equity, and respectful events
- Comfortable working outdoors in all weather
- Able to lift 50 lbs repeatedly and perform physical event work
SALARY: $65,000
