Postion Overview

 

This position is accountable for organizing and maintaining the department’s physical collection of internal departmental policies, procedures, manuals, and specifications, as well as externally published books, standards, audio-visual resources, journals, newsletters, etc. This position maintains spreadsheets of national research publications and legal series to ensure receipt and addition to the collection. This position reviews the collection and acquires publications as needed to maintain the current version of each technical publication used in completing activities to meet the department’s goals and objectives, as well as maintains the inventory list and completes the annual inventory review.

Essential Functions

  • Organizes and maintains the department’s physical collection of internal departmental policies, procedures, manuals, and specifications’ as well as externally published books, standards, audio-visual resources, journals, newsletters, etc.
  • Uses computerized national and worldwide networking and research systems Online Computer Library Center (OCLC), Transportation Research Information Services (TRISWorld), Illinois Library and Information Network (ILLINET), Illinois State Library (ISL), etc.) to catalog items and review bibliographic records.
  • Maintains spreadsheets of publications received; weeds out the periodical collection (journals and newsletters); and periodically shelf-reads the physical collection to return misplaced items to the proper location.
  • Reviews the collection to determine latest edition for each series and acquires publications as needed to maintain the current version of each technical publication.
  • Serves as the liaison with department personnel regarding existing and new resources and coordinates acquisitions to minimize redundancy and excessive spending throughout the department
  • Maintains the inventory list of the library collection and completes the annual inventory review.
  • Performs duties in compliance with departmental safety rules. Performs all duties in a manner conducive to the fair and equitable treatment of all employees.
  • Performs other duties as assigned.

Minimum Qualifications

  • Completion of a bachelor’s degree majoring in library science, information science, English, history OR Completion of two years of college PLUS Two years of experience working in a library, information management, research or a combination thereof OR Six years of experience working in a library, information management, research or a combination thereof.

Preferred Qualifications

  • Working knowledge of modern organizational concepts and general information technology skills.
  • Ability to maintain harmonious professional relationships with fellow employees, other agency officials and the general public.
  • Working knowledge of Microsoft Office Suite and SharePoint.

Conditions of Employment

  • Requires a valid driver’s license.
  • Requires occasional statewide and out-of-state travel with overnight stays.
  • Requires successful completion of a background screening.
