Gameday Coordinator
The Gameday Coordinator is essential for ensuring a smooth, safe, and enjoyable experience for all participants, coaches, officials, and spectators. Their primary responsibilities span logistics, on-site management, and communication.
Before Gameday
- Field/Venue Preparation: Confirm field layouts, ensure necessary equipment (flags, cones, scoreboards, medical kits) is available and in good working order.
- Schedule Confirmation: Review the final game schedule, confirming game times, field assignments, and official assignments.
- Communication: Distribute pre-gameday instructions or alerts (weather, parking, special rules) to coaches and league management. They will not be responsible for making any decisions, however will be the on-site communication source for questions.
During Gameday
- On-Site Logistics Management: Oversee the setup and breakdown of the site. Ensure all fields are ready on time.
- Game Flow Supervision: Monitor the adherence to the schedule. Handle any unexpected delays, disputes, or logistical issues that arise during play.
- Official and Coaches Support: Serve as the main point of contact for officials and coaches, ensuring they have what they need to perform their duties effectively.
- Incident Management: Act as the facilitator for equipment failures, disciplinary issues, and reporting minor injuries.
- Score and Data Management: Oversee the accurate recording and reporting of game scores, and turn into Flag Director at the end of each week
- Ensure proper adherence to Grounds rules: Make sure only coaches are on the playing surfaces, and that fans stay on the south side stands only.
- Communication and collaboration with Community Ed: Community Ed will always have an on-site coordinator, and the Game Day Coordinator will collaborate and coordinate with community ed as needed
Post-Gameday
- Site Cleanup: Ensure all fields are clear of league equipment and trash.
- Reporting: Document and report any significant incidents, injuries, or concerns to league management.
- Feedback Collection: Solicit brief feedback from coaches or officials to identify areas for improvement for future gamedays.
2026 Season Expectations
For the 2026 Flag Football Season, the Gameday Coordinator role involves the following time commitments and on-site positioning:
- Gameday Schedule: All games will be held on Sundays, running from approximately 10:00 am to 6:00 pm.
- Season schedule is April 26-June 21, with optional make-up date on June 28. There will be no practices/games on May 24 to observe Memorial day. Therefore, there will be 8-9 Sundays that Gameday Coordinators are required

Required On-Site Hours: Coordinators are expected to be on-site each Sunday:
- Setup: Arrive no later than 9:45 am (15 minutes before the 10:00 am start time) to facilitate field and venue setup.
- Breakdown: Remain on-site until all visitors have left the facilities are broken back down (up to one hour after the 6:00 pm end time) to ensure complete field breakdown and site cleanup.
- Station/Location: During the events (10:00 am - 6:00 pm), Coordinators will be stationed near the main entry point at a designated information table. This location is intended to serve as the central hub for logistics, support, and incident management.
- Rate of pay: $22/hr
- Number of coordinators: 1-2 coordinators should be on-site at all times. It is not necessary to have two coordinators on site at all times
