Records Management Intern

Position Overview

This position, under general supervision of the Utilities Coordinator, is responsible for supporting the records and information management program through a variety of projects, including an inventory of electronic records repositories. 

 

Position Functions

  • Assist with scanning, indexing, and data entry for filing department records into Laserfiche to ensure accuracy and clarity of final copy. 
  • Gather business process information related to tasks to create standard operating procedures. 
  • Prepare files for destruction in accordance with State law and City policies. 
  • Participate in on-site records management training. 
  • Provide supplemental administrative support to internal and external customers including, but not limited to; answering telephone calls, taking detailed messages, and communicating with proper etiquette. 
  • Perform other administrative or records management duties as assigned. 

 

MINIMUM QUALIFICATIONS: 

 

  • High school diploma or GED is required for this role
  • Current enrollment in a graduate or undergraduate degree program with an interest and aptitude to work in a municipal government setting
  • General administrative skills, including: operating a computer and related software applications, ability to type proficiently (minimum 50-60 WPM) 

 

PREFERABLE QUALIFICATIONS: 

 

  • Experience with Laserfiche Records Management System 
  • Knowledge of Florida public records law
  • Valid Driver’s License if driving.
  • Willingness to adopt AI and emerging technologies.

 

Supplemental Information

 

Applicants will be required to complete a Disclosure & Authorization Regarding Background Investigation, a Confidentiality Agreement and a criminal background screening.

 

 If driving, a driving history for the past three (3) years must reflect no violations of a driving related felony offense, or driving under the influence (DUI) which includes both drugs and alcohol, reckless driving, or hit and run involving an occupied vehicle or attended property, or an accumulation of traffic violations, plus three (3) points for each attendance at driving school (regardless of whether points were assessed against the license) where the penalty points do not exceed twelve (12).
