Global NYI Convention Coordinator

Summary: Assists the Global NYI Project Manager—who is responsible for the coordination of the Global NYI Convention— in the planning and preparation of the 2027 Global NYI Convention.

 

Essential duties and responsibilities: Include the following. Other duties may be assigned.

  • Processing and credentialing NYI Delegates via Delegate Management System (DMS)
  • Assist the Global NYI Project Manager and NYI Director in collecting and managing NYI delegates’ information. 
  • Respond to delegate inquiries, visa letter requests, and letters of invitation in consultations with the Global NYI Project Manager and NYI Director.
  • Create a detailed grid for convention leadership displaying onsite responsibilities.
  • Assist the Global NYI Project Manager with the coordination and setup of all NYI Convention venues—ensuring each space is arranged correctly and equipped for business sessions, leadership training, worship services, fellowship events, the NYI office, and the Exhibit Hall—in collaboration with the General Assembly Arrangements Office.
  • Assist the Global NYI Project Manager in implementing production decisions.
  • Organize submitted resolutions and coordinate their translation. Distribute them to delegates electronically, and in printed format if necessary.
  • Facilitate the design of the seating diagram for delegates and the logistics for those delegates attending via digital/online means.
  • Helping coordinate IT and tech support teams.
  • Facilitate the creation of signage for delegate seating, microphone stand numbers, platform furniture, equipment, and decoration, as well as general signage.
  • Arrange and/or collect information on airfare, ground transportation, lodging, per diems, and travel expense reimbursement forms for Global NYI Leaders and Convention Leadership Team.
  • Assist the Global NYI Project Manager in gathering convention information for the NYI website and NYI social media, as available, following the Global NYI Convention Communications strategy. Keep information current.
  • Facilitate the creation and/or distribution of the delegate handbook, name badges, t-shirts, and other participant materials. 
  • Assist the Global NYI Project Manager in the creation of the Global NYI Convention Report binder.
  • Assist in event evaluation and follow up with delegates after the event.
  • Assist the Global NYI Project Manager in the creation of follow-up resources connected to the NYI Convention.
  • Assist the Global NYI Project Manager with the organization and management of office supplies, event resources, and materials stored in the NYI area and at the Caves.
  • Other duties as assigned by the Global NYI Project Manager and/or the NYI director.

 

 

Qualifications:

  • College degree – or comparable work experience
  • Strong organizational skills
  • Strong command of the English language 
  • Experience/exposure to the Nazarene Church, doctrine and organization
  • Detailed Oriented
  • Strong interpersonal and public relations skills
  • Familiarity with MS Office software

Minimum Education/Experience:

  • College degree – or comparable work experience

  • Christ-centered attitude concerning assigned projects, particularly when working with the Global NYI Council and other leaders.
  • Must work well as an individual but also in a team environment
  • Should thrive on seeing others succeed and fulfilled
  • Interest or experience in intercultural studies/global ministry
  • Basic knowledge of the doctrine and polity of the Church of the Nazarene

 

Physical Demands: The physical demands of this position are consistent with those of a standard office environment and must be met by an employee to perform the essential functions of the role successfully. Reasonable accommodations may be provided to enable individuals with disabilities to perform these functions.

However, during event preparations and throughout the NYI Convention, the role requires active participation in the setup of rooms and venues. This may include tasks such as lifting boxes and equipment, moving furniture, and assisting with logistical arrangements as part of the on-site team.

Work Environment: Office working environment; the noise level is typically quiet.
