EVENT COORDINATOR INTERNSHIP

 

Southwest Michigan First is seeking an Event Coordinator Intern with a passion for event planning, business, communications, public relations, or hospitality management. In this role, you will work closely with our events team to support the full lifecycle of events from developing detailed logistics plans and coordinating vendors to overseeing catering and managing events from start to finish. We're looking for a motivated, detail-oriented individual ready to make a real impact in the community while building skills essential to a successful career.

 

Primary Responsibilities

  • Assist with coordinating events hosted in our facility, spanning all phases from inquiry and contract through logistics and follow-up.
  • Oversee event registrations and invoicing for Southwest Michigan First programs and events.
  • Collaborate with sponsors, clients, vendors, industry partners, and staff to understand goals, requirements, and ensure positive guest experiences.
  • Engage with prospective and existing clients with professionalism and exceptional customer service.
  • Place orders for food, services, equipment, and supplies (e.g., linens, candles, and décor); maintain inventory for internal and rental events.
  • Ensure all communication needs are met for each event (e.g., invitations, name tents, place cards, name tags, and attendee agendas).
  • Assist with internal events from planning through completion, as needed.
  • Lift up to 25 lbs. unassisted and navigate a multi-floor building with the mobility and endurance required for event and office needs.

 

Minimum Requirements

  • Currently pursuing a degree in Hospitality, Business, Event Management, Marketing, Public Relations, or a related field.
  • Self-motivated, organized, and able to manage your own workload efficiently.
  • Strong customer service skills with clear written and verbal communication.
  • Exceptional attention to detail and a commitment to delivering excellence.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word); experience with data management tools is a plus.
  • Able to build professional relationships and work effectively with diverse stakeholders.
  • Consistently meets deadlines and works well both independently and as part of a team.
  • Flexible availability, including early mornings and evenings, to support the dynamic nature of event scheduling.
  • Receptive to feedback with a positive, adaptable attitude.
