ACCOUNTS COORDINATOR

 

Location: Washington, DC

Salary: $45,000-65,000 Annually, Depending on Years of Experience

 

A woman-owned boutique employment law firm is seeking a full-time Accounts Coordinator to join our team. As a small, close-knit law firm with 50+ years of experience, we are dedicated to protecting the rights of employees and handling the most sensitive and complex employment matters in the workplace. We offer a great work life balance and a team-oriented culture. Our practice focuses on representing individuals and groups in all aspects of employment law, including wage and hour violations, discrimination, retaliation, sexual harassment, whistleblower claims, employee discipline matters, contract negotiations, and class and collective actions.

This role works directly with the Chief Financial Officer and Accounts Manager and supports the financial operations of the firm. We are looking for a motivated, detail-oriented professional who thrives in a fast-paced environment and can balance teamwork with independent initiative.

 

Position Summary

The Accounts Coordinator plays a key role in managing the firm’s day-to-day financial processes, client billing, expense tracking, and account reconciliation. This position requires strong bookkeeping knowledge, excellent organizational skills, and the ability to communicate professionally with attorneys, clients, and vendors.

 

Key Responsibilities

  • Report directly to the Chief Financial Officer in managing firm’s finances
  • Assist with client billing, including bill review, corrections, and electronic distribution 
  • Process time entry and post client-related expenses
  • Generate paid consultation invoices for potential clients
  • Enter, file, and reconcile monthly client expenses
  • Perform credit card reconciliations
  • Process client payments
  • Set up and track scheduled payments
  • Contact clients regarding outstanding balances
  • Assist with check deposits
  • Contact vendors and enter vendor invoices/bills
  • Track employee travel arrangements and reimbursements
  • Maintain and update employee and client-related spreadsheets
  • Assist with closing client matters and file maintenance
  • Provide attorneys with client billing reports as requested
  • Organize and clear physical files as needed
  • Perform other administrative and accounting duties as assigned

 

Qualifications

  • Minimum of 2 years of bookkeeping or accounting experience
  • Strong knowledge of bookkeeping principles
  • Proficiency in Microsoft Office, particularly Excel and Word
  • Advanced Excel skills preferred
  • Experience with Centerbase is a plus
  • Working knowledge of standard office equipment
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • Exceptional organizational and time management skills
  • Ability to work efficiently in a fast-paced environment
  • Team-oriented with a positive, proactive attitude and strong work ethic
