The Role
We are looking for a highly organized, detail-oriented, and proactive Executive Assistant to provide dedicated support to our Chief Executive Officer. This is a foundational administrative role — one that requires someone who takes pride in keeping things running smoothly, anticipates needs before they arise, and understands that great execution behind the scenes drives results at the top.
At the same time, we view this position as one of the best seats in the house. You will sit at the center of the business, interact with every function, and develop a front-row understanding of how a company operates at its highest level. What You'll Do
Calendar & Schedule Management
Own and manage the CEO's calendar end-to-end — scheduling meetings, appointments, and events with precision and intentionality
Proactively identify and resolve scheduling conflicts, ensuring the CEO's time is protected and well-utilized
Maintain the Business Process Calendar across the organization
Travel Coordination
Arrange comprehensive travel itineraries including flights, hotels, ground transportation, and visa requirements
Prepare and reconcile travel expense reports in accordance with company policy
Meeting & Administrative Support
Prepare agendas, briefing materials, and presentations ahead of the CEO's internal and external meetings
Attend key meetings, capture accurate minutes, track action items, and follow up to ensure completion
Consolidate and distribute functional monthly reports to the appropriate stakeholders
Document & Information Management
Organize, maintain, and safeguard sensitive corporate documents and records
Handle all confidential information with discretion, professionalism, and integrity
Project & Cross-Functional Coordination
Support the planning and execution of special projects initiated by the CEO
Liaise with teams across the business to track deliverables and keep projects on schedule
Stakeholder & Relationship Management
Build and sustain positive relationships with key internal and external stakeholders, including clients, partners, and board members
Coordinate logistics for VIP visits and assist with hosting executive-level guests
Prioritization & Workflow Support
Serve as a thought partner to the CEO in managing daily workload — flagging urgent matters, organizing priorities, and ensuring nothing falls through the cracks
Who You Are
You don't need years of EA experience — we're looking for someone who is early in their career but brings the right instincts, work ethic, and mindset. You might be a great fit if you:
Recently graduated (or are about to) with a Bachelor's degree in any field — we care more about how you think than what you studied
Have a GPA you're proud of and aren't afraid to share (please include your GPA on your resume)
Are the person in the room who catches the typo everyone else missed
Naturally think a few steps ahead and take initiative without waiting to be asked
Are endlessly curious — you ask good questions, connect dots, and want to understand the "why" behind things
Can manage multiple moving pieces simultaneously without losing composure or accuracy
Handle sensitive information with maturity and discretion
Are proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) or eager to get there quickly
Communicate clearly and professionally, in writing and in person
No prior executive support experience required. What we're really hiring for is mindset, curiosity, and a genuine desire to do great work.
