Job Summary:
Provide high-level administrative, clerical, and operational support to the Director of Post-Secondary Readiness and associated programs, including Concurrent Enrollment (CE), Career and Technical Education (CTE), Career-Connected Learning (CCL), Adult and Community Education (ACE), and D2 Promise. This position supports the coordination, event coordination, documentation, budgeting, communication, registration, and logistical needs of post-secondary readiness systems to ensure efficient operations and strong service to schools, students, families, and community partners.
Essential Duties and Responsibilities:
- Serve as primary secretary to the Director; manage calendars, meetings, correspondence, visitors, phone calls, and maintain confidentiality. Travel to various locations within the district to deliver supplies as needed.
- Prepare, proofread, format, distribute, and file correspondence, reports, presentations, and program documentation.
- Provide clerical and organizational support for CE, CTE, CCL, ACE, and D2 Promise programs, including entering ACE students into Infinite Campus.
- Assist with maintenance of course catalogs, graduation pathways, and post-secondary program materials.
- Support budgets and grants by processing/arranging requisitions, invoices, travel, reimbursements, requesting quotes and budget tracking.
- Assist with budget planning and grant documentation
- Coordinate logistics for meetings, professional learning, college and industry partnerships, and events.
- Post Secondary pathways tracking and alumni connections.
- Perform other duties as assigned.
Education, Training and Experience:
- High school diploma or equivalent, plus specialized courses in computer spreadsheet and word processing software.
- Over three years of experience in a clerical or secretarial position.
- Basic to intermediate math skills.
- General customer service, writing and communication skills.
- Public relations and telephone skills.
- Word processing, spreadsheet, database management, general accounting and bookkeeping skills.
- Operating knowledge of general office equipment such as computer, copier, fax.
- Intermediate knowledge of MS Word, MS Excel, and ability to learn specialized software programs.
Certificates, Licenses and Registrations:
- Valid Colorado driver's license required.
- Criminal background check and District fingerprinting required.
