Cal-Bridge Event Assistant

Cal-Bridge Event Assistant Job Description

Required skills/knowledge/abilities:

  • Ability to work independently in a remote setting. Excellent attention to detail.
  • Ability to interact professionally with a diverse group of faculty, staff, scholars and visitors in person, on the phone, over zoom and via email.
  • Ability to create fliers, Word documents, Excel spreadsheets, and Google docs/sheets.
  • Ability to travel and work in-person events, 3-4 times per academic year.

Skills Knowledge and Abilities Preferred: 

  • Event planning experience
  • Knowledge of Adobe Acrobat, Google Suite, Excel.

Job Duties:

  • 5% Compile, organize, and type information for emails, meeting agendas and notes.  Update Google Docs, spreadsheets and web pages.
  • 15% Attend events, schedule permitting, to assist with event check-in, meal logistics and technology needs.
    15% Create maps, schedules, name tags and resources for events utilizing Adobe Acrobat and Google Suite.
  • 15% Compile and organize event supplies, including but not limited to: name tags, t-shirts, educational materials, and first aid kits.
    15% Assist with social media content creation, including editing photos and videos.
    30% Assist with event planning for Cal-Bridge events and workshops, including but not limited to: registration tracking, catering and supply orders, venue reservations, and lodging accommodations.
    5% Other duties as assigned

Cal-Bridge is a state-funded initiative to increase the participation of underrepresented groups in STEM doctoral education and professional careers, particularly the professoriate. The Cal-Bridge network is a grass-roots collaboration of over 200 faculty from all nine general-purpose UC campuses, 22 CSU campuses, and numerous California Community Colleges. Cal-Bridge currently operates in three disciplinary areas: Physics & Astronomy, Computer Science, and Mathematics, and hopes to incorporate two more disciplines within the next few years. The Cal-Bridge program operates at a scale large enough to make an impact on the participation of these groups on a national scale.
