Administrative and Development Coordinator
Position Summary
The Administrative and Development Coordinator supports the core operational and fundraising functions of the Keweenaw Land Trust (KLT). This role manages donor database systems, gift processing and acknowledgements, office operations, and administrative infrastructure while supporting donor stewardship and fundraising communications.
Donor Database, Gifts, & Stewardship (45%)
• Manage and maintain the donor database in Little Green Light (LGL)
• Own and continuously improve donor data and gift-processing workflows, regularly reviewing systems to increase accuracy, efficiency, and reliability
• Perform regular data cleaning, deduplication, and record upkeep
• Enter and process all gifts accurately and promptly
• Generate tax receipts and donor acknowledgements
• Prepare and coordinate thank-you notes and stewardship communications
• Manage listservs and donor communication lists
• Coordinate individual donor communications and donor stewardship activities
• Produce reports for appeals, campaigns, and board use
Administrative Operations & Office Systems (35%)
• Manage incoming and outgoing mail
• Maintain records and access systems
• Oversee filing systems (digital and physical)
• Manage office supplies, postage, printer systems, subscriptions, and renewals
• Address miscellaneous office issues and workflow needs
• Provide basic IT troubleshooting and user support (Microsoft, Zoom, office systems)
Fundraising & Communications Support (20%)
• Use templates to create fundraising materials consistent with organizational branding
• Assist with mailings and volunteer coordination
• Support fundraising campaigns and occasional organizational events
Qualifications
Required
• Strong interpersonal presence with the ability to make donors, volunteers, and visitors feel
genuinely welcomed and appreciated
• Strong attention to detail and organizational skills
• Experience with data entry and comfort learning database systems
• Clear written and verbal communication skills
• Comfort with Microsoft Office and basic technology troubleshooting
• Ability to manage recurring responsibilities while handling interruptions
• Discretion with confidential donor and financial information
Preferred
• Experience in nonprofit administration or fundraising support
• Experience working in a donor database or CRM (e.g. Little Green Light or similar platform)
• Familiarity with donor stewardship or customer-service environments
• Experience with payment processors (PayPal, Stripe, etc.) and basic design platforms
(Canva)
• Interest in and familiarity with land conservation, outdoor recreation, or the mission of the
Keweenaw Land Trust
Work Environment
• Part-time, exempt position (15–20 hours per week)
• Primarily onsite at KLT’s Hancock office
• Some schedule flexibility after onboarding, with occasional evenings or weekends
