Executive Assistant

Overview

We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our team. The ideal candidate is a proactive problem-solver with excellent communication skills and the ability to manage multiple priorities.

 

Key Responsibilities

  • Send accurate and timely shipment tracking information to customers upon order fulfillment.
  • Monitor order status updates and proactively communicate delays or changes to customers.
  • Respond to customer inquiries related to order status and delivery timelines in a professional manner.
  • Prepare, review, and send customer invoices in a timely and accurate manner.
  • Track outstanding invoices and follow up on overdue payments in coordination with the finance team.
  • Support special projects, event coordination, etc. 
  • Serve as the primary point of contact for vendor relationships, managing communications and correspondence.
  • Maintain and update the company CRM system with accurate customer, vendor, and lead information.

 

Qualifications

  • 4+ years of experience in an administrative, executive assistant, or office coordinator role. A Bachelor's degree in Business Administration or a related field will be accepted in lieu of prior work experience
  • Strong written and verbal communication skills with a professional, customer-first attitude.
  • High attention to detail and the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, etc.).
