HR Operations Generalist

Instalily is seeking a highly motivated and detail-oriented HR Operations Generalist to join our team. This role is essential for ensuring the smooth and efficient operation of all Human Resources functions. This role will be responsible for a wide range of HR activities across the entire employee lifecycle, from onboarding to offboarding, with a focus on compliance, process improvement, and employee support. This person will report to and work closely with the Head of People to execute strategy and maintain a strong HR foundation for our rapidly growing company.

Key Roles and Responsibilities

  • Employee Lifecycle Management:
    • Work on all aspects of employee lifecycle, including the end-to-end hiring, onboarding and off-boarding process, including documentation, systems access, and communication.
    • Oversee data entry and integrity within the HRIS (JustWorks) and other HR systems.
    • Answer employee questions regarding benefits programs, including enrollment, changes, and annual open enrollment.
    • Support performance management and compensation review cycles.
  • Immigration and Compliance:
    • Act as a point of contact for US and international immigration matters, coordinating with external counsel and employees.
    • Assist with the documentation and process for visa applications, renewals, and permanent residency filings.
    • Ensure federal and state labor law compliance across all HR processes and documentation.
  • HR Support and Collaboration:
    • Work directly with the Head of People on strategic HR initiatives, policy development, and process optimization.
    • Serve as the initial point of contact for employee inquiries regarding HR policies, procedures, and benefits.
    • Assist with internal audits and preparation of HR reports and metrics.
    • Use AI to help improve processes gain efficiencies
  • Culture and Engagement:
    • Coordinate employee engagement activities, internal communications, and company events.
    • Support the development and implementation of company-wide HR policies and procedures.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field or equivalent relevant experience.
  • 0-3 years of experience in an HR Generalist or HR Operations role.
  • Foundational knowledge of US employment laws and best practices.
  • Strong interpersonal and communication skills, with the ability to handle sensitive information with discretion.
  • Exceptional organizational skills and attention to detail.
  • Ability to work on a hybrid 4 days in office, 1 remote, in our New York City office location
  • Experience handling employee immigration processes preferred
  • Familiarity with JustWorks or other HRIS systems preferred
