Undergraduate Operations Coordinator

Undergraduate-Operations + CRM Coordinator (Projects, Pipeline & Executive Support)

Type: Undergraduate Co-Op Internship (Part-Time, In Office)
Hours: Up to 20 hrs/week
Location: Palm Beach County, FL (In Office)
Reports to: CEO / Leadership Team
Duration: Semester-based / Co-op term (with possible extension)

Role Overview

This in-office co-op role supports day-to-day execution across pipeline operations, CRM discipline, and leadership follow-through. You’ll help keep meetings, contacts, tasks, and deal activity organized so the team can move faster and avoid dropped balls.

This is a strong fit for an undergraduate student who is highly organized, detail-oriented, and comfortable managing trackers, follow-ups, and process-heavy workflows.

What You’ll Work On

  • Keep the team’s pipeline/CRM records current (contacts, notes, stages, next steps, due dates)
  • Help maintain clean opportunity and contact data across CRM and spreadsheet trackers
  • Research and enrich contact lists (titles, companies, org structure, public-facing information)
  • Track follow-ups and task deadlines to ensure actions don’t slip
  • Support leadership meeting execution:
    • scheduling/confirmations
    • agenda support
    • concise recap notes and action lists
  • Maintain basic operating trackers for outreach, partner diligence, proposals, and submissions
  • Help prepare weekly summaries of open priorities, stuck items, and upcoming deadlines
  • Assist with file/document organization (naming conventions, version control, assembling attachments as needed)

What Success Looks Like

  • CRM and trackers are updated within 24 hours of key activity
  • Meetings are documented clearly with next steps and owners
  • Weekly pipeline/ops dashboard is accurate and easy to review
  • Fewer missed follow-ups and cleaner execution across active pursuits

Minimum Qualifications

  • Current undergraduate student (business, operations, communications, engineering management, or related field)
  • Available to work in person in Palm Beach County, FL
  • Strong Google Workspace and/or Microsoft Excel skills
  • Able to consistently work up to 20 hours/week

Nice to Have

  • Exposure to CRM systems (HubSpot, Zoho, Airtable, etc.)
  • Familiarity with project/task tools and structured workflows
  • Interest in operations, business development, or project coordination in infrastructure/energy environments

Compensation

$500–$1,000/month stipend (based on experience, schedule, and fit)
A performance-based bonus may be considered.
