Client Systems Coordinator

 

Location: Fully Remote                      

Hours: 15 hours per week

Compensation: $225 per week   

Contractor role: 1099 (Does not include benefits)

Initial term: 6 months with option to extend (Mid March start date)

The Role
The Client Systems Coordinator supports EEC’s growth by organizing and coordinating the end to end client pipeline, from lead capture through scheduling, proposal preparation support, and onboarding coordination. This role ensures consistent follow up, accurate tracking, and clear communication so opportunities progress in a timely, professional manner.

What You’ll Do

Build and Maintain the Outreach System

  • Design and implement a client outreach process using Google Suite, Calendly, and a project management tool (to be selected together)
  • Create and manage a CRM style tracking system for all prospects, outreach attempts, and pipeline stages
  • Develop outreach email templates, scripts, and one-pagers that communicate EEC’s value to district leaders
  • Research and identify 10 to 15 high fit districts weekly for outreach (those with 30% or higher chronic absence rates) 

 

Execute Daily Outreach and Follow-Up

  • Conduct initial outreach via email and phone to school district leaders, including superintendents, directors of student services, school board members, and similar roles
  • Manage follow-up sequences for non-responsive leads
  • Schedule consultation meetings for the Executive Director
  • Conduct pre-consultation research on each district to prepare the Executive Director with relevant context (chronic absence data, recent initiatives, leadership changes, and related updates)

 

Manage Post Consultation Pipeline

  • Draft and send customized proposals following consultations
  • Follow-up with decision makers after proposal submission to support progress toward contract signing
  • Track proposal status and manage contract logistics (sending, tracking signatures, follow-up)
  • Maintain organized documentation of all client communications and project stages

 

Content Creation and Continuous Improvement

  • Create outreach messages that reflect EEC’s voice and mission
  • Create visual supports as needed using Canva
  • Analyze outreach data to identify what is working and refine messaging, timing, and strategies
  • Provide weekly pipeline updates and insights to the Executive Director
     

What You Offer

  • At least one year experience in client coordination, operations coordination, sales operations, or similar
  • Familiarity with the United States’ K-12 education landscape
  • Highly organized with strong systems thinking skills
  • Excellent written and verbal communication skills
  • Comfortable with technology and tech tools (Google Suite, Calendly, Canva, AI tools, project management platforms)
  • Self directed and detail oriented, with the ability to manage multiple leads and follow up sequences simultaneously
  • Ability to work independently, prioritize tasks, raise questions, and highlight challenges

 

Tools You’ll Use
Google Suite, Calendly, Canva, AI tools (ChatGPT, Claude, Perplexity, etc.) for research and content support, and project management tools such as Notion or Airtable.
