ELSEHERE is an international arts nexus working across production, publishing, and cross-border partnership. We produce and support practices across performance, moving image, installation, and digital forms, while building artist-facing programs and infrastructures where work can deepen and circulate with context and care.

Our work includes Open Calls, artist-facing programs, cross-border exchange initiatives, and long-term partnerships across China, the United States, the United Kingdom, Italy, and Japan.

What We’re Looking For

We are looking for a detail-strong, systems-minded Legal & Business Affairs Coordinator to support ELSEHERE’s contracts, rights, and program operations as we grow.

This is a practical role for someone who can work across legal thinking and day-to-day execution. You should be comfortable handling contracts, permissions, and policy language, while also helping us build internal systems that keep projects clear, organized, and scalable.

This role is a strong fit for someone who wants to work in the real conditions of an early-stage international arts platform, where legal, operational, and program decisions are closely connected.

 

The Role

You will support ELSEHERE’s legal and business affairs workflow across contracts, rights management, platform policies, partnership documentation, and internal business records.

Core Responsibilities

1) Contracts and Template Systems

  • Draft, review, and revise agreements for artist mentors, collaborators, contractors, and program partners
     
  • Build and maintain a reusable template library for common agreements (Open Calls, partnerships, artist features, instructors, contractors, etc.)
     
  • Track versions and key term changes across agreements
     
  • Flag high-risk clauses and prepare simple internal guidance on what can and cannot be changed

     

2) Rights, Permissions, and Content Use

  • Support permissions and rights tracking for projects published on ELSEHERE platforms (website, social, screenings, digital programs)
     
  • Maintain a clear rights tracker for media, artist materials, and usage permissions
     
  • Help prepare and review release language, consent forms, and content use approvals
     
  • Assist with copyright-sensitive requests, takedown communication, and documentation updates

     

3) Program Policy and Compliance Support

  • Review Open Call and program-facing language for clarity and risk (eligibility, fees, refunds, review process, rights)
     
  • Help maintain consistency across website copy, forms, and policy text
     
  • Review basic platform workflows for risk and clarity (submission, payment, confirmation, records)
     
  • Support practical compliance documentation for artist-facing programs and partner engagements

     

4) Business Affairs and Partnership Coordination

  • Support partnership documentation, deal summaries, and scope alignment notes before contract drafting
     
  • Help track signature status, obligations, deadlines, and deliverables across active collaborations
     
  • Coordinate with operations and program teams to ensure agreements match actual workflows
     
  • Support clear written communication for approvals, changes, and follow-up

     

5) Documentation, Records, and Finance Prep Support

  • Maintain organized records for contracts, invoices, payments, and partner documentation
     
  • Help track payment status, reimbursements, and supporting documentation across programs
     
  • Prepare bookkeeping-ready files and monthly documentation summaries for internal review
     
  • Support tax-season preparation by organizing forms and records for an external accountant or tax preparer
     
  • Help maintain clean internal logs for vendors, contractors, and payment-related documentation

  • A rights and permissions tracker in place for active projects
     
  • Improved consistency across program pages, forms, and policy language
     
  • Clear internal documentation for contracts, invoices, and program records
     
  • Faster contract and documentation turnaround for new partnerships and mentors

     

Ideal Background

We’re especially interested in candidates with some combination of the following:

  • Legal training, paralegal experience, contract administration, business affairs support, or policy operations
     
  • Experience reviewing or drafting agreements in creative, media, nonprofit, startup, or education contexts
     
  • Strong written communication and documentation habits
     
  • Comfort working across teams and translating legal concepts into practical next steps
     
  • High attention to detail and follow-through

     

Strong Plus

  • Experience with arts organizations, creative production, or media rights
     
  • Experience with documentation workflows involving invoices, vendor records, or bookkeeping prep
     
  • Bilingual English and Chinese
     
  • Experience working across international or cross-border projects
     
  • Familiarity with platform-based programs, digital publishing, or artist agreements

Compensation and Support

This role is unpaid at the current stage, with performance-based upside:

  • Bonus or project-based compensation tied to key deliverables and program growth milestones
     
  • Portfolio-quality experience building legal and business affairs systems for an international arts platform
     
  • CPT or OPT support available in the form of internship or engagement documentation (no H-1B sponsorship)

     

Growth Path

We are building ELSEHERE for the long term. As the platform grows, this role can evolve into a longer-term position such as:
