Administrative Assistant

Job Title: Administrative Assistant

Reports To: Director
 Location: Paragon Carousel, Hull, MA
 Schedule: Part-time, School-day friendly schedule; flexible within operational needs.

Position Summary

The Paragon Carousel seeks a reliable, organized, and community-minded Administrative Assistant to support the day-to-day operations of this historic and beloved nonprofit attraction. Reporting directly to the Executive Director, this role is essential to keeping daily operations running smoothly and efficiently. The Administrative Assistant will serve as a key point of contact for visitors, partners, vendors, and supporters while assisting with administrative, marketing, and operational tasks.

This position is ideal for someone who enjoys working in a dynamic, family-friendly environment and is comfortable juggling multiple responsibilities in support of a mission-driven organization.

Key Responsibilities

Administrative & Office Support

  • Answer and direct incoming phone calls and emails in a professional and welcoming manner
  • Assist with daily office operations and administrative tasks
  • Manage incoming and outgoing mail, including donor acknowledgments and mailers
  • Maintain organized digital and physical filing systems
  • Schedule appointments and assist with calendar coordination as needed
  • Support basic data entry, record keeping, and document preparation

     

Operations Support

  • Receive and log deliveries; coordinate with staff and vendors as needed
  • Assist with inventory tracking and office supply ordering
  • Provide general support during events, programs, and peak operating days
  • Help ensure smooth communication between staff, volunteers, and leadership

     

Marketing & Communications Assistance

  • Assist with preparation and distribution of marketing materials and mailers
  • Support email communications, flyers, and promotional campaigns
  • Help maintain contact lists and databases

     

General Support

  • Perform other administrative and operational duties as needed to support the mission and daily functioning of the Carousel

Qualifications & Skills

  • Prior administrative or office support experience preferred
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Friendly, professional demeanor with the ability to interact with the public
  • Ability to multitask and work independently
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with Google Workspace (Docs, Sheets, Drive, Gmail)
  • Experience with nonprofit organizations, customer service, or community-based programs a plus

Work Environment & Schedule

  • Part-time position with mother’s hours (typically during school hours)
  • Occasional flexibility may be needed during special events or peak seasons
  • On-site position.  This position will not be remote.

Pay

$20-25/hour depending on experience
