WellWomanPT, a boutique women's pelvic health clinic in Cumming, GA, is seeking a Front Desk Patient Care Coordinator/Administrative Assistant to join our amazing team of therapists.

At WellWomanPT, we're passionate about women’s pelvic health and helping them return to the activities they love. We are a small company that provides hour long one on one pelvic floor physical therapy using a holistic multiprong approach to help women get relief from pain and dysfunction. The position is a part time to full time position 9-5:30 with compensation according to experience level and performance. The position involves interacting with patients, handling the schedule, filing paperwork, answering the phones, and explaining pelvic floor physical therapy to new patients. You’ll be the face and voice of the clinic to patients, essential for the success of the clinic and serve as a crucial part of our team.

Position Details:

  • This is a 40 hour position which may be shared by two people, Monday-Friday, from 9:00 AM - 5:30 PM.

Your Role Will Include:

  • Answering the phone and scheduling appointments
  • Providing exceptional customer service
  • Handling lead follow-ups, emails, and assisting with marketing efforts (internal and external)
  • Maintaining our Electronic Medical Records (EMR) and Customer Relationship Management (CRM) systems
  • Creating documents according to brand
  • Managing supplies, patient room turnover, and light laundry
  • Providing essential administrative support to our therapy team
  • To represent the clinic with patients, whether on the phone or in person
  • Handle and organize patient files and information
  • To stock and change linens in patient rooms
  • Any other duties which may be required

Qualifications and Skills

  • Minimum of one year experience as an receptionist/admin assistant in a healthcare setting strongly preferred,
  • Students in PTA school or needing observation hours to apply to physical therapy schools are encouraged to apply.
  • Proficient in Google Workspace Docs, Canva and Social Media.
  • An AA or bachelor's degree is preferred with medical office experience.
  • Ability to interact in a professional and courteous manner with patients and co-workers at all times.
  • Able to take patient payment, use a fax machine, handle email communications, and a multi-line phone system while multi tasking.
  • Ability to learn and communicate about pelvic floor physical therapy and the various diagnoses that are seen at the clinic.
  • Handle paperwork filing in an organized manner.
  • Communicate clearly in person, email, and on the phone
