As part of UAlbany’s Division for Research & Economic Development, ISHE facilitates cutting-edge research and provides comprehensive support for project development, grant strategies and proposal writing. We aim to enhance the success of researchers by offering tailored assistance in navigating the complexities of funding, and interdisciplinary partnerships.

Description of Duties 

Oversee administrative tasks including organizing meetings and coordinating activities with stakeholders.
Lead, coordinate, and assist with social media outreach, web design, and promotional materials for Institute and affiliated Centers events.
Oversee all aspects of project purchase requisitions, travel reimbursements and policies, including travel information dissemination, updating forms and procedures, and follow-up on travel reimbursements.
Maintain records and monitor processing of meetings, correspondence, travel reimbursement, purchasing, budgets, and expenditures by program workplan.
Prepare newsletters, oversee a library of grant-support materials and research literature, and coordinate emails and other correspondence with Institute affiliates.
Provide administrative support for research related activities to assist PIs and researchers prepare grant applications and reports as required.
Manage interdepartmental requests to support IT, facilities, and other Institute requirements.

Manage project position recruitment requests, appointments, promotions, and reclassifications, leave requests, and separations of employees ensuring accuracy of materials and adherence to University and Research Foundation policies.
Provide support with project and budgetary expenditure to facilitate transparency of financial matters throughout the grant's duration.
Prepare reports and gather data as requested to support project activities.

 Minimum Qualifications

  • B.A from a college or university accredited by a USDOE or internationally recognized accrediting organization AND three years of experience in an administrative capacity. Applicants who will receive their B.A in May 2026 will considered, contingent upon receipt of degree at the time of hire, 
  • Strong computer skills, particularly with Microsoft Office products including MS Word, MS Excel and MS PowerPoint.
  • Minimum one year experience preparing promotional marketing materials and newsletters.
  • Excellent interpersonal, oral and written communication skills.

Preferred Qualifications

  • Minimum one year experience creating and updating social media platforms such as LinkedIn and X, and using software such as Drupal, Canva and Miro for website updates and design.
  • Minimum one year program management experience within a university setting.
  • Knowledge of Federal and State procurement processing procedures.
  • MBA from a college or university accredited by a USDOE or internationally recognized accrediting organization. Applicants who will receive their MBA in May 2026 will considered, contingent upon receipt of degree at the time of hire.
