Loan Administrator
Loan Administrator – Multifamily Affordable Housing
The Loan Administrator is responsible for the comprehensive administration of a portfolio of affordable multifamily loans. This includes ongoing loan servicing, escrow and reserve management, insurance compliance, Davis-Bacon wage & Section 3 monitoring, and regulatory oversight. The role ensures adherence to loan documents, affordability covenants, investor requirements, and federal, state, and local program regulations while supporting asset performance and risk mitigation.
The Loan Administrator works within the Loan Administration/Servicing department which works closely with Underwriting, Compliance, Construction Management, and external stakeholders including borrowers, property managers, contractors, trustees, investors, and regulatory agencies.
Portfolio Administration
• Administer a portfolio of multifamily affordable housing loans which consists of a variety of financing structures.
• Monitor loan performance, escrow balances, and loan document compliance.
• Review and track required financial reporting submissions (rent rolls, operating statements, audited financials).
• Maintain accurate loan records in servicing systems and ensure proper documentation retention.
• Support annual loan reviews, renewals, modifications, and restructures as needed.
Escrow & Reserve Management
• Monitor and reconcile insurance, replacement reserve, operating deficit, and other escrow accounts.
• Process reserve and escrow disbursement requests in accordance with loan documents.
Insurance Monitoring
• Monitor borrower compliance with insurance requirements outlined in loan agreements and regulatory documents.
• Review certificates of insurance for proper coverage types, limits, endorsements, and lender loss payee/mortgagee clauses.
• Track expiration dates and ensure timely renewal of required policies (property, general liability, builder’s risk, flood, workers’ compensation, E&O, etc.).
• Coordinate with borrowers and insurance providers to resolve coverage deficiencies.
• Maintain insurance compliance logs and reporting for internal and investor review.
Davis-Bacon & Section 3 Compliance Monitoring
• Monitor compliance with Davis-Bacon and related federal labor standards requirements on applicable projects.
• Review certified payroll submissions for accuracy and wage compliance.
• Coordinate with construction management and compliance teams to track contractor documentation.
• Maintain records of wage determinations, contractor certifications, and labor compliance documentation.
• Assist in responding to regulatory audits or inquiries related to labor standards compliance.
Reporting & Communication
• Maintain internal portfolio and compliance reports.
• Coordinate with investors, trustees, and regulatory agencies as required.
• Respond to borrower and contractor inquiries related to loan administration, insurance, and compliance matters.
• Support audits, investor reviews, and regulatory examinations.
Education
• Bachelor’s degree in Finance, Economics, Accounting, Real Estate, Business Administration, or related field preferred. Recent and/or upcoming college graduates encouraged to apply. Will provide training.
Knowledge & Skills
• Strong financial statement analysis skills.
• Proficiency in Excel, Word, Power Point, Outlook, Adobe Acrobat Pro, MS Office.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple deadlines in a regulated environment.
• Strong written and verbal communication skills.
