Job Summary:
The Office of the Registrar is seeking an Articulation Compliance Coordinator. This is a full-time (1.00 FTE ), 12-month, professional faculty position.
The Office of the Registrar is an Oregon State University mission-critical unit. We safeguard institutional integrity while helping meet the needs of students, faculty, and staff. We play a critical role in serving the needs of students throughout the student lifecycle, from admission through degree completion and beyond; provide faculty and staff with timely and accurate expertise, resources, and systems solutions; and co-create, shepherd, implement, interpret, and uphold academic policies and regulations, accreditation standards, and laws. The office serves as an institutional partner, providing a clear path for student success, and we value expertise, innovation, inclusion, and collaboration. We provide enrollment and instructional services, maintain academic history, and offer support services to students, staff, and faculty. The Articulation Compliance Coordinator position in the Office of the Registrar is a member of the Compliance Team, reporting to the Sr. Assistant Registrar – Course Articulation. This position supports compliance structures and processes that are in place for the University’s transfer course articulation activities. In concert with faculty in colleges and departments, the position ensures academic and institutional integrity bestowed on the Office of the Registrar by the Oregon State University President and Board of Trustees. Collaboration and communication are important aspects of this position for building and maintaining strong partnerships across the institution. This position will be expected to communicate both internally and externally to the University, as well as to collaborate externally with other institutions, to support OSU’s transfer course articulation program.
Success in this position includes the ability to pivot quickly within an ever-changing environment; comfort with ambiguity and flexibility are important. The Articulation Compliance Coordinator role is responsible for investigating, evaluating, and determining course articulations, collaborating with faculty when appropriate and engaging with accreditation standards and federal department of education compliance standards related to articulation when necessary. This position supports the maintenance of course articulation tables within the student information system (SIS ) and supports a university-wide effort to improve the university’s transfer evaluation processes to ensure student success at Oregon State University.

Key Responsibilities
60% Course Articulation
• Processes and articulates new and updated transfer courses utilizing SIS and established workflow platforms.
• Utilizes CollegeSource Transfer Evaluation System (TES ) software to research and inform articulation decisions.
• Collects and interprets updated information regarding course content to maintain accuracy, consistency, and integrity of transfer evaluations. Identifies key data to inform course articulation decisions.
• Researches and analyzes accreditation, grading system, course level, and degree program context from other institutions. Provides reports or information to the Sr. Assistant Registrar to inform articulation and other decisions including those that affect academic policy.
• Researches and analyzes accreditation, grading system, course level, and degree program context from institutions outside the United States for the purpose of education abroad articulation. Works closely with Office of the Registrar Operations Team to ensure effective and efficient posting of education abroad credit.
• Monitors the curriculum for new and revised courses, updates to articulations based on annual changes at Oregon institutions posted to OrACRAO website.
• Enforces University transfer credit policies and provides expertise on compliance controls related to course articulation. Complies with, and adheres to, FERPA . Follows guidelines provided by university, state law, AACRAO and industry best practices.
• Participates in institution-wide implementation of federal, state, and university policies and regulations concerning transfer initiatives.
• Maintains a detailed knowledge of Oregon State University degree programs, curriculum, requirements, and policies.
• Maintains a detailed knowledge of regional accreditation standards related to transfer work as well as federal rules affecting transfer students.
• Partner and communicate effectively with constituencies across the campus community, including unit leadership, department heads, program leads, advisors, admissions, and others, in support of transfer credit articulation.
• Advises internal stakeholders (staff, students, and faculty) regarding course articulation policies and protocols.
• Assists external constituents seeking information on transfer credit evaluation policies and procedures.
• Processes requests for applying transfer courses to University’s general education program, updating articulation in the system, or applying degree audit exception as appropriate.
30% Data Integrity, Auditing, and Reporting
• Supports the maintenance of transfer course equivalency infrastructure within the student information system (SIS ) by populating course articulation determinations.
• Assists with development, maintenance, and reporting of articulation agreements.
• Reviews and audits existing equivalencies and assist in data standardization processes.
• Conducts daily, weekly, and monthly self- and peer-audits of progress and completion of articulations and process workflows to ensure program success.
5% Other Duties as Assigned
• On occasion, assist other units within the Office with university programs and activities.
• On occasion, may assist other University units to support transfer course articulation activities.
• Assist with annual commencement ceremony.
5% Professional Development
• Attend regular team and Office meetings. Actively participates in all Office discussions, workshops, and retreats.
• Participate in university or professional organization staff development activities, training, or conferences.
What You Will Need
• Bachelor’s degree.
• Work experience with curriculum development/assessment, academic advising, and/or course evaluation.
• Ability to analyze complex issues and situations through many lenses, including an equity lens; identify alternative solutions; forecast consequences and disparate impacts across student populations; and recommend effective courses of action.
• Administrative experience with a student information system (e.g., Banner, Colleague, Jenzebar).
• Experience providing exceptional internal customer service, with the demonstrated ability to take appropriate actions when critical situations arise.
• Demonstrated ability to work both independently and collaboratively.
• Ability to produce work both accurately and efficiently.
• Excellent written and verbal communication skills, including the ability to communicate with administrative management and academic constituencies.

• Experience learning new software or processes quickly.
