Front Desk Associate

Front Desk Mission Statement:To provide accurate information, thoughtful, and caring communication to guests and all staff alike.

 

Overview: The front desk is “communication central” for the Ranch. All incoming calls, walk-ins, internal radio calls, and many email messages are channeled through the front desk. How these points of contact are handled is critical to our image. To be successful in this position, you will need to be comfortable on the phone, able to multitask, tolerant of interruptions, proficient with Microsoft Word, QuickBooks, creating invoices, accurate with numbers, and verbal/written communication. A “can-do” attitude and a natural ability to serve will go a long way toward your enjoyment and success!

Basic Responsibilities 

  1. Open and close the office.
  2. Operation of office equipment: cash register, copier, etc.
  3. Answer phones- transfer to the appropriate person or take a message.
  4. Respond to email messages or forward to the appropriate person.
  5. Respond to radio calls from SDR personnel.
  6. Book reservations, handle check-in procedures, and process payments for:
  • Horseback Riding
  • Bunk and Breakfast stays, including lodging for weddings
  • Holiday traditions
  1. Take payment for gift shop purchases
  2. Anticipate participating in marketing campaigns and sales efforts.
  3. Fill out the Lodging tracking sheet for the weekend and put it in the cabin keeper's mailbox.
  4. Provide communication support to SDR teams:

 

 

 

Horse Barn- 

  • Print riding calendar at the end of the day and put in wrangler and Susan’s mailbox.
  • Radio wranglers about calls of availability of same-day rides.
  • Process adventure rider (AR) payments. ( As of 10/15/24, this goes through Karen, but could change.)

      Cabin Keepers-

  • Provide daily information showing the status of lodging units.
  • Recording changes to the lodging calendar.

      Food and Beverage- 

  • Record number of guests on daily meal schedule, including “chow down” rides.
  • Communicating any changes to meal counts.

Additional Responsibilities- 

 

  1. Gift shop- Ordering, inventory, setting prices, and displaying of items.
  2. Re-stocking literature- welcome room and office.
  3. Process payments.
  4. Stock refrigerator and snacks.
  5. Checking for no-show packets on the main door.
  6. Turning on the lights in the welcome room.
  7. Turning on music and setting it at a correct volume.
  8. Other duties as assigned.
