Development Specialist

General Description

Under the direction of the Chief Advancement Officer, the Development Specialist is responsible for the day-to-day function of the Development Office, including database management, cash receipts, donor correspondence, reporting, and other duties as assigned by the Advancement Offices.

Education & Experience Requirements

  • Associate degree preferred.  Will consider combination of education and related work experience. 
  • At least two years of administrative support experience in a fast-paced environment. 
  • Substantial experience working with customer relationship management (CRM) databases is required (knowledge of DonorPerfect is preferred). 
  • Experience using Microsoft Office is required; Word and Excel are necessary.
  • Child Abuse clearance, Pennsylvania Criminal History Check, FBI Criminal Record Check and Mandated Reporter Training.

  • This position requires someone with a strong attention to detail, excellent communication skills, effective organizational skills, knowledge of data mining, and the ability to maintain confidentiality. 
  • Candidate must enjoy performing a variety of administrative tasks such as writing correspondence, answering the phone, updating files, data entry, and preparing mailings.
  • Excellent interpersonal skills.
  • Must demonstrate a high level of proficiency in Excel, mail merges into Word, and importing and exporting records.
  • It is important that the candidate is flexible, energetic, possesses a professional demeanor, a self-starter and able to shift work priorities as needed.
  • Excellent problem-solving skills.

Duties and Responsibilities

  • Enters donations into CRM database, including online, check, cash, ACH, wire transfers, and in-kind receipts.
  • Prepares all cash receipts for weekly deposit and provides it to the Finance Department.
  • Produces timely acknowledgements and thank you letters for all receipts.
  • Updates CRM database with pledges, donor contact, and other details related to relationship management.
  • Imports data from external platforms into CRM database.
  • Adheres to standard operating procedures for CRM and filing system to ensure consistency and accuracy of data records.
  • As directed, prepares all mailings. 
    • Creates mailing lists from database, verifies per USPS standards; merges and prints letters and envelopes.
    • Assembles mailings via bulk and first-class mail. Delivers to bulk mail office. 
  • Scans all documents associated with donations, mailings, and other information received and files them in Sharepoint and CRM database as appropriate.
  • Runs reports from CRM database:
    • Month-end close and reconciliation; year-end audit reports 
    • Other reports as needed by Advancement/Finance Offices.
  • Searches obituaries regularly; updates and records data to CRM and Sharepoint.
  • Responsible for maintaining inventory of Development office supplies and ordering supplies as needed.
  • Provides clerical support such as daily collection and distribution of mail to YCL Administrative staff and assists with food orders for Board Meetings and Strategic Planning sessions.
  • Other duties as assigned by Advancement Office.

Physical Requirements

  • Must be able to lift up to 30 pounds from ground level to waist level and be able to bend, squat, and kneel occasionally throughout the work shift.
  • Must be able to push/pull carts weighing up to 120 pounds. Must be able to reach, lift, and stretch throughout the workday.
  • Must be able to stand and/or walk up to four hours at a time. Must be able to sit for up to four hours at a time
