Graduate Administrative Assistant in Counseling and Consultation Services

The graduate administrative assistant is responsible for assisting the Department Head, Faculty and the
Executive Administrative Assistant with the functions and overall operation of the Counseling and
Consultation Services, with an emphasis on strict confidentiality, professional conduct, attention to detail,
and exceptional sensitivity.
 
 Characteristic Duties and Responsibilities:
1. Must maintain strict confidentiality at all times and in all circumstances.
2. Maintain twenty (20) office hours per week.
3. In consultation with faculty and staff, assume principal responsibility for maintenance and enhancement
of the Counseling and Consultation Services (CCS) NMU website. This includes researching mental
health self-help, education, and prevention materials, and vetting these with CCS faculty for inclusion on
the website and in the CCS lending library.
4. Co-coordinate and facilitate department efforts to establish and enhance on-going relationships with
community partners and referral resources. Establish and maintain an active database for these, with
current information relevant to health and mental health resource availability, insurances, costs, and so
forth.
5. Facilitate outreach presentations; including coordinating requests, assisting faculty with presentation
content, and technical assistance. With faculty consultation, personally conduct selected educational
presentations.
6. Assist faculty with academic and professional literature searches.
7. Respond to telephone and walk-in contacts from students, faculty, staff, and other individuals, in
accordance with CCS standards and practices.
8. Perform assigned duties that positively impact student outcomes and success. Participate in making
suggestions to improve efficiency and effectiveness.
9. Provide office coverage as necessary, and assist in processing paperwork, maintaining office
resources and records, data entry, mailings, word processing, and the lending library.
10. Attend staff meetings and other meetings, as requested.
11. Consistently work in a safe manner. Demonstrate self-motivation and dependability.
12. Perform other duties as assigned

 Qualifications: MINIMUM QUALIFICATIONS:
1.   Must be a graduate student, or be accepted to a graduate program.
2.   Must have a minimum 3.0 GPA. Graduate students just beginning their program must have earned  a
minimum 3.0 GPA in their undergraduate program. Graduate and/or undergraduate work in the helping
professions is strongly preferred.
3.   Experience with leadership activities.
4.   Above average communication skills; writing, speaking, and listening.
5.   Experience organizing projects and events.
6.   Ability to deal with diverse populations in a positive and friendly manner.
7.   Ability to demonstrate strict confidentiality.
8.  Demonstrate a sincere interest in helping people.
9. Knowledge of and familiarity with computer applications run from Windows format.
10. Willingness to learn all aspects of office operations, resources and services.
 
Desired/Preferred Qualifications:

Graduate Student in the helping professions, such as Psychology, Nursing, Social Work, School of
Clinical Sciences, or Health and Human Performance. If just beginning the graduate program, has earned
an undergraduate degree with one of these major concentrations.
