The Stanley Clark School seeks a detail-oriented, proactive, and technologically adept full-time Registrar for immediate hire, preferably by the start of the 2026-2027 school year. Candidates should show persistence, a strong sense of initiative, and ownership over making sure their work shows attention to detail, while also understanding that flexibility is required in all school settings. Ideal candidates will possess a track record of supporting organizations with a wide variety of technical tasks across multiple systems, often balancing numerous competing priorities while maintaining a strong sense of professionalism. The Registrar position may also serve as backup to the Front Desk on occasion; this role entails greeting visitors, answering phones, and serving as the initial point of contact for our students, staff, and visitors.

Essential Duties and Responsibilities:

  • Ensure the School Calendar is detailed, accurate, and up to date - a process that involves managing event requests as they are submitted and following up with faculty/staff and other stakeholders when information is incomplete 
  • Update and confirm that all student and employee data is accurate in a wide variety of systems, particularly when new employees start and new students enroll
  • Initiate a wide variety of tasks pertaining to employee onboarding and new family/student enrollment
  • Monitor communications sent via Veracross and Finalsite to ensure delivery to appropriate constituents 
  • Maintain all current and archived academic records including transcripts, report cards, recommendations, records requests, and formal testing for students and alumni, and manage grade reporting processes in all divisions
  • Manage the course request process and roster all students for classes, testing, etc.
  • Support the Admissions Office with re-enrollment tasks
  • Support with a variety of tasks at the start of the school year including ensuring the receipt of necessary forms from families
  • Coordinate end-of-year Final Assemblies, including the design and printing of programs, awards, and certificates 
  • Coordinate, schedule, and communicate multiple school photo dates with an outside photographer throughout the school year and upload photos to multiple systems once they are delivered 
  • Show a strong desire to serve the institution in a wide variety of roles based on need, including class coverage when a Substitute is not available and Front Desk coverage when the Receptionist is not present 
  • Exhibit a spirit of professionalism with all school community members 
  • Other duties as assigned


 

Qualifications:

Ideal candidates will possess experience as a registrar, administrative assistant, or database administrator. Qualified candidates will be proficient with Microsoft Office. Candidates should have experience with or be eager to learn numerous software systems including, but not limited to, Veracross, Finalsite, Blackbaud/MySchoolApp, and Adobe Illustrator.
