As we continue to grow, we’re looking for a Project Coordinator who combines sharp operational instincts with creative fluency - someone who loves keeping things organized, thrives in a fast-paced environment, and takes pride in seeing a great idea come to life.
Position Overview
The right candidate is a natural multitasker and communicator, ideally with a background in production and project management. You will oversee both client-facing and internal projects, ensuring deadlines are met, budgets are balanced, and deliverables exceed expectations.
This role requires exceptional attention to detail, clear communication, and the ability to work fluidly between our internal team, clients, and vendors (both domestic and overseas).
Fluency in Mandarin is strongly preferred, as you will frequently liaise with manufacturing and fabrication partners abroad.
Key Responsibilities
- Partner with our creative and production teams to define project goals and deliverables
- Develop detailed project plans, timelines, and budgets - ensuring they stay on track
- Assist with concepting and pitch development, collaborating with the creative team to help translate ideas into clear, compelling presentations and proposals for clients
- Coordinate with vendors, fabricators, and suppliers to maintain production accuracy and quality control
- Communicate clearly and consistently with clients throughout project lifecycles
- Anticipate challenges, identify pinch points, and implement workflow solutions before issues arise
- Manage resources, people, and logistics to keep projects moving efficiently
- Work with forwarding partners to determine the most efficient and reliable shipping methods by comparing freight options, transit times, and costs.
- Stay current on industry trends
- Conduct post-project reviews to identify learnings and improve future processes
Qualifications
- Highly organized, adaptable, and detail-oriented
- A problem-solver with a creative mindset and “no-task-too-small” attitude
- Team player who is proactive and eager to learn
- Professional demeanor, especially when interfacing with high-profile clients
- Previous experience in production of tangible marketing collateral, or related creative industries is a huge plus
- Fluent in Mandarin and English (spoken and written) strongly preferred
- Familiarity with Adobe Creative Suite, AutoCAD, SketchUp, Rhino, V-Ray, a huge plus
- Familiarity with Microsoft Office and project management tools (Monday.com, Asana, Basecamp or similar) a plus
- Bachelor’s degree or higher in a related field preferred
Salary/Compensation:
- Competitive salary commensurate with experience, salary range 50k - 70k
