Temporary Grant Secretary
General Description:
- This is a grant funded position; continuation of this position is contingent upon grant funding.
- Reports to the SSS TRIO Program Director.
- The Grant Secretary performs a variety of confidential and complex administrative duties requiring independent judgment and initiative in support of the Director and program staff.
- May be required to work occasional nights and weekends.
Duties:
- Provide administrative support to program staff to include participant recruitment, selection, and service delivery.
- Assist Director with reconciliation of program budgets. Submit monthly budget reports.
- Maintain program files and review for completeness.
- Assist program staff with maintenance of program database.
- Adhere to and provide feedback on policies and procedures to ensure efficient office/program operations.
- Perform other duties as assigned.
Required Qualifications:
- High school diploma or equivalency.
- Ability to manage multiple deadlines, tasks, projects, and assignments with minimal supervision.
- Experience with budget management/reconciliations.
- Ability to develop and maintain accurate and comprehensive records and files.
- Effective writing and speaking skills.
- Experience with computer software (Microsoft suite) and database management platforms.
Preferred Qualifications:
- Bachelor’s degree.
- 1-2 years’ experience in complex secretarial or administrative work in a fast-paced environment.
- Experience working with federally funded programs or projects.
- Bilingual candidates with Spanish proficiency.
- Experience working with excel and or SAP to reconcile budgets, enter Purchase orders, requisitions, and other financial documents.
