Executive Analyst
Position Summary
The Executive Analyst is a dual-impact role designed to help support data-driven decision-making while ensuring the operational success of the leadership team.
As a key contributor to the company’s data strategy (80% of the role), you will focus on developing end-user reporting, developing Power BI dashboards, and automating processes to improve organizational efficiency. The remaining 20% of the role provides high-level administrative and project management support to the leadership team, requiring a high degree of professionalism, discretion, and proactive problem-solving. This position reports to the Senior Vice President of Contract Logistics and serves as a vital link between technical data integrity and executive execution.
Essential Job Functions
Data Strategy & Solutions (80%)
- Reporting & Analytics: Assist in the development and maintenance of company reporting tools, including internal data hubs and Power BI dashboards, ensuring alignment with company branding.
- Process Automation: Identify and implement opportunities to automate data-related tasks and reporting processes to streamline departmental workflows.
- Technical Support: Provide direct support to departmental leads, helping them access, interpret, and utilize BI tools to drive their specific business goals.
- SOP & Data Integrity: Lead the documentation of departmental SOPs to ensure accuracy and centralization; collaborate with the Kaizen team to provide feedback on processes that impact data integrity.
- Data Literacy: Act as a resource for the organization to improve data literacy, translating complex data sets into actionable insights for non-technical stakeholders.
Executive Operations & Admin (20%)
- Meeting & Event Logistics: Assist with organizing conferences, managing room blocks, and oversee on-site meeting preparation (equipment, catering, and materials).
- Communications: Design and type high-level correspondence emails when needed.
- Executive Support: Assist in assembling master power point presentations as participants submit them to you and various tasks as assigned by leadership.
- Financial & Admin Lifecycle: Manage executive expense reports, update organizational charts, and handle confidential information with the utmost diplomacy.
- Project Management: Act as a project lead for special nonrecurring assignments, ensuring broad communications and information dissemination across the business unit.
Minimum Required Qualifications
- Experience: 2–4 years of experience in business support, data analysis, or a related technical field (relevant internships considered).
- Education: Bachelor’s Degree. Preferred Master’s degree (completed or in progress) in Business Analytics, Finance, Business, Administration, Communications or IT.
- Technical Proficiency: Advanced skills in Power BI and the Microsoft 365 Suite (specifically Excel and PowerPoint).
- Data Savvy: Working understanding of data management principles, best practices, and the ability to maintain data integrity.
- Soft Skills: Exemplary written and verbal communication skills; ability to interface with clients and executives with tact and sensitivity.
- Adaptability: Proven ability to manage multiple tasks in a fast-paced environment with high attention to detail and minimal supervision. Experience in a fast-paced environment and the ability to manage multiple tasks simultaneously.
Required Skills Toolkit
- Technical: Power BI Dashboarding, Data Automation, ERP Software – JDE, SAP, Oracle NetSuite (preferred).
- Operational: Project Management, Executive Scheduling, Travel Coordination.
- Interpersonal: Professional Diplomacy, Technical Translation (explaining tech to non-tech users), Time Management.
Physical Requirements
- Stationary Position: Must be able to remain in a stationary position (sitting or standing) for prolonged periods (approx. 75-80% of the day) while operating a computer and managing data dashboards.
- Manual Dexterity: Constantly operates a computer, keyboard, and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- Communication: Must be able to frequently communicate and exchange accurate information via telephone, email, and in-person with executives, clients, and technical teams.
- Movement: Occasionally moves about inside the office to access file cabinets, office machinery, or to coordinate meeting room setups.
- Lifting: Occasionally moves or transports office supplies, meeting materials, or catered food orders weighing up to 20 pounds.
- Vision: Must have the visual acuity to view a computer monitor for extended periods and analyze complex data sets, charts, and reports.
Mental & Cognitive Demands
- Analytical Thinking: Ability to identify patterns in data and troubleshoot technical issues within Power BI or ERP systems.
- Discretion: Must maintain high levels of confidentiality regarding executive schedules and sensitive company data.
- Multi-tasking: Ability to pivot between deep-focus technical tasks (80%) and urgent administrative requests (20%) without loss of accuracy.
Work Environment
- Setting: This role typically operates in a professional office environment with standard lighting and temperature.
- Travel: Occasional domestic or international travel may be required to support executive meetings or conferences.
- Schedule: Generally follows standard business hours, though occasional evening or weekend work may be required to support high-level executive projects or deadlines.
