Administrative Support Specialist

Position Summary

The Administrative Support Specialist supports NorthWoods’ mission to connect people and place through science, education and action, by ensuring smooth, organized, and responsive day-to-day office operations. This role works closely with our Business Manager and is ideal for someone who enjoys administrative and systems tasks, attention to detail, and supporting our work in conservation and education.

Key Responsibilities

  • Provide general administrative support to ensure smooth daily operations across NorthWoods’ programs
  • Support payroll and HR processes, including payroll review, employee data updates, onboarding support, benefits-related questions, and maintaining accurate records
  • Coordinate housing-related administrative tasks and onboarding communication
  • Maintain organizational systems and documentation, including forms, employee handbook, files, and shared Google Drive resources
  • Serve as a point of contact for staff, community members, and partners by answering phones, responding to inquiries, and assisting walk-in visitors
  • Support office operations, including purchase tracking, mail handling, and ordering office and equipment supplies
  • Assist with internal communications, staff meetings, outreach scheduling, and general coordination
  • Provide event and program support
  • Support development and fundraising tasks
  • Offer flexible administrative support as organizational and community needs evolve

Required Skills & Qualifications

  • Strong attention to detail with a systems-oriented approach
  • Clear and effective verbal and written communication
  • Highly organized and able to manage a variety of tasks in a small-team environment
  • Comfortable interacting with staff, community members, and external partners
  • Experience using Excel, Quickbooks, and other common administrative tools
  • Ability to work collaboratively while also taking initiative on independent tasks
  • Interest in improving systems, efficiency, and organizational processes

Work Schedule

This is an hourly, part time (20 hours/wk) year round position, in-person at the NorthWoods office in East Charleston, Vermont. 3 day/week flexible schedule, to be set upon hire. Very occasional evenings and weekends. Possibility of flexible or reduced hours in the winter.

Reports to: 

Business Manager and Executive Director  

Compensation: $18 – $19.50 per hour, depending on experience

Benefits: $500 Annual Medical Expense Reimbursement Program. Employer retirement contribution up to 3% match. Paid time off on an accrual basis. Employees are permitted access to NorthWoods’ outdoor equipment, wood shop, and gear lending library. Weekly Winter Wellness allowance.
