Job Summary:

 

Finance and Administration Information Technology’s Business Architecture Team is seeking a Strategic Coordinator. This is a full-time (1.00 FTE ),12-month, professional faculty position.

 

As a member of the Strategy and Operations team, and reporting to the Director of Business Architecture, the Strategic Coordinator works within the Division of Finance and Administration’s (DFA ) Strategic Roadmap and IT Project Roadmap to plan, implement, and monitor complex and technical projects and initiatives for DFA Leadership. The Strategic Coordinator leads development and implementation of projects to solve problems that may have wide impact, requiring high levels of functional integration and involving multiple disciplines to be managed.

 

Under the Business Architecture team, this position leads and engages in all aspects of project management including initiation, planning (phase design, risk analysis), execution (implementation, communication, change mgmt., vendor mgmt., risk mgmt.), monitoring and control (budget, scope, timeline, analytics, reporting), and closure (after-action review).

 

OSU’s University Information and Technology (UIT ) has a commitment to deliver data as a strategic working asset and to enable data informed decision making across OSU . DFA IT leaders and staff will lead by example and use data to inform decision making at all levels in the organization. Persons in technology roles are also expected to design systems with data portability in mind and work within enterprise architecture and privacy guidelines.

 

This position is an essential part of Strategy & Operations, a team dedicated to supporting OSU and DFA functions, programs, and processes. Key Responsibilities

 

IT Project Management (65%)

 

• Lead the planning, execution, and delivery of major strategic initiatives in support of DFA . Works with Business Analysts to identify and analyze requirements needed for projects.

• Manage project charters, timelines, resource allocation, risk assessments, and communications.

• Develop and manage the work breakdown structure of assigned projects.

• Identify and schedule project deliverables, milestones, and required tasks.

• Manage project budget, including tracking, monitoring, and reporting expenditures when applicable.

• Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.

• Tailor appropriate strategies and communication plans. Utilize resources as needed to ensure appropriate resolution.

• Liaise with project stakeholders on an ongoing basis. Set and continually manage project expectations with team members, Sponsors and other stakeholders.

• Identify and manage project dependencies and critical path.

 

Internal/External Engagement and Communications (20%)

 

• Establish and maintain collaborations and partnerships with internal and external stakeholders, including DFA partners, IT community members, vendors, and professional organizations to help build and leverage expertise and resources.

• Follow up with project teams to ensure parties are held accountable and on track for completion.

• Direct and manage activities of the project team to ensure project progress is on schedule and within prescribed budget. Follow-up with project team to ensure quality of deliverables are adequate for project objectives.

• Make recommendations about DFA’s project portfolio practices as needed.

• Foster positive relationships, both internally and externally to the University, while managing complex project phases within firm schedules.

• Collaborate with team members and stakeholders to identify and resolve challenges and issues that arise during projects and initiatives.

 

Project and Portfolio Evaluation, and Reporting (10%)

 

• Assist in creation and analysis of current and future state process maps. Identify opportunities for improvement.

• Maintain existing Capacity Planning and resource management practices. Data produced will inform decisions around prioritization and sequencing of projects.

• Collect and report on overall health of the project portfolio.

• Measure project outcomes, report progress, and identify lessons learned. Prepare dashboards and presentations for leadership as needed.

 

Other Duties as Assigned (5%)

 

• Participate in appropriate activities that enhance general knowledge of, or ability to do, assigned work.

• Participate in departmental processes and initiatives, including change management, incident management, etc.

 

What You Will Need

 

• Bachelor’s degree from an accredited college or university.

• Three years of experience leading strategic projects including at least two years of experience leading IT-related projects

• Experience working independently and in team-oriented, collaborative environments.

• Demonstrated knowledge of project management tools and methodologies.

• Highly adaptive: can conform to shifting priorities, demands, and timelines through agile, analytical, and problem-solving capabilities.

• Demonstrated ability to elicit cooperation from a wide variety of sources, including management, project team members, and other departments.

• Demonstrated ability to bring projects to successful completion with sponsor signoff.

• Adept at conducting analysis and project reporting.

• A demonstrable commitment to equity and inclusive project engagement.

 

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

 

What We Would Like You to Have


 

• Bachelor’s degree or higher in Computer Science, Business/Management Information Systems, Business Administration, Public Administration, Engineering, or related field.

• Project Management Professional (PMP ) Certification.

• Four or more years participating in IT-related project management.

• Experience leading complex IT project(s) (e.g. enterprise-level project).

• Project management experience in a higher education environment.

• Familiarity with project management software.

 

Service Management and Operations experience.

 

Working Conditions / Work Schedule

 

This position works within a professional office environment with standard business hours (8 am to 5 pm weekdays) and may be expected at times to work after hours to complete projects and/or meet objectives. The position is open to hybrid work arrangements utilizing online team collaboration tools at supervisor’s discretion. Occasional travel may be required.
