This position is hybrid.

Are you a detail-oriented professional who enjoys supporting leadership, managing processes, and keeping operations running smoothly? In this role, you’ll provide essential administrative and operational support to the Water Resources Commissioner’s Office management team. You’ll help ensure fiscal accuracy, regulatory compliance, and efficient day-to-day operations while contributing to budgeting, safety, and special projects that support critical public infrastructure.

What You’ll Do

• Provide administrative support to the Water Resources Commissioner’s Office management team
• Review and approve vendor invoices and serve as a point of contact for vendors
• Assist with division budget development, including the creation and use of computerized systems for budget recommendations
• Assist with special projects, including site visits to field locations as needed
• Use Countywide and department-specific software to complete assignments and documentation

Minimum Qualifications

REQUIRED MINIMUM QUALIFICATIONS

 

Possess a Bachelor’s degree from an accredited college or university with a preferred major in Business Administration, Accounting, Public Administration, or related field of study.

 

NOTE:   Applicants possessing transcripts from a college or university outside of the United States will be required to provide documentation of degree equivalency from a member of the National Association of Credential Evaluation Services (http://naces.org/members.html). The degree evaluation will be required for application processing.

 

Have two (2) years of full-time work experience in one or more of the following areas: customer relations, budget preparation, general accounting, legal/paralegal or related area.

 

Possess a valid United States motor vehicle operator's or chauffeur’s license.  Out of Country driver’s license holders will be required to obtain the appropriate valid State of Michigan driver’s license before the hire date.

 

Pass the complete examination, including the employment medical, established for this classification.

 

Successfully complete the six month probationary period.

 

SPECIAL REQUIREMENTS

 

Must maintain a valid United States motor vehicle operator's or chauffeur's license.

 

ESSENTIAL JOB FUNCTIONS

 

Monitors Fiscal Service's quarterly billings of wholesale customers to ensure timely payment of the County's sewer and water systems billings from Detroit. Responds to wholesale customer questions.

 

Collects and receives data from multiple sources and compile into a summary report, possibly for publication.

 

Receives, reviews and prepares vendor invoices for payment. Acts as a liaison for vendors.

 

Assists managers in organization, planning, and execution of assigned projects, by identifying tasks and resources needed to complete the project, monitors project progress, follow-up as needed and complete projects by deadline.

 

Assists managers in daily operations including follow-up, planning, preparing, making phone calls, collecting data in order to create charts, and other tasks as needed.

 

Schedules and prepares various meetings and corresponding material in compliance with the Open Meetings Act.

 

Participates in meetings and takes notes. Prepares meeting minutes. Follows-up with other staff to compete action items.

 

Assists with the overall project oversight of the WRC strategic plan by working with the five committees and following up on all projects. Assists the Committee Leaders or Sponsors as needed.

 

Maintains confidential employee and organizational information.

 

Prepares letters, email and memorandum based on notes or documents provided from engineers or management team.

 

Reviews time entered into financial system with time entered into work management system.  Creates PowerPoint and other presentations as necessary.

 

Proofreads letters and documents from management and engineering team to ensure proper grammar and consistency of message.

 

Receives and responds to requests for information (FOIA). Identifies appropriate source(s) to pull information. Requests or creates reports and combines reports with narrative for presentation.

 

Assists the Billing department with bankruptcy filings.

 

Utilizes current Countywide and/or department specific software to complete assignments.

 

ADDITIONAL DUTIES & RESPONSIBILITIES

 

Reviews invoices for damages to County property to ensure billings are appropriate. Monitors collection on invoices, including contacting citizens for nonpayment of damages and notifying legal counsel if further action is necessary.
