Overview:
The Data Systems Specialist coordinates and manages district data systems operations by developing custom reports, data integrations, and technical solutions across the district's database systems. Reporting to the IT Director, this position provides technical leadership in data systems development and ensures the effective implementation and maintenance of district database platforms through collaboration with IT staff, departmental stakeholders, and external vendors. The role creates and maintains custom functionality within PowerSchool SIS, builds automated data connections between district platforms, and develops dashboards and reporting tools that enable staff to access and analyze operational data. Success in this position requires strong technical aptitude in database querying, web development, and scripting, combined with excellent project management and vendor coordination abilities. The Data Systems Specialist maintains data accuracy and security while creating efficient, user-friendly tools that support curriculum, assessment, compliance, and business operations across the district.
Job Responsibilities:
- Develops and maintains custom reports, imports, and exports for PowerSchool Student Information System to support district operations and decision-making
- Creates custom pages, forms, and functionality within PowerSchool SIS using HTML, CSS, JavaScript, and PowerSchool customization tools
- Designs and builds custom reports, imports, and data exports from district database systems including Tyler ERP financial systems, curriculum platforms, assessment systems, and other operational databases that support business decision-making and resource management
- Develops custom applications and automated reporting solutions using Google Workspace tools including Google Apps Script
- Creates and maintains automated data integrations including roster synchronization between district systems including PowerSchool, Google Workspace, curriculum platforms, and assessment systems
- Builds and maintains data dashboards using Looker Studio and custom web-based solutions to visualize key district metrics
- Provides database administration support including user management, vendor coordination, and system troubleshooting
- Leads evaluation, selection, implementation, and configuration of new data systems, platforms, and automated workflows
- Coordinates data systems projects from planning through implementation, working with IT staff, vendors, and departmental stakeholders
- Manages vendor relationships for data systems including technical coordination, support escalation, and contract compliance
- Writes SQL queries to extract, validate, and analyze data from multiple district database systems
- Develops data exports and validation reports to support curriculum, assessment, and compliance staff in meeting state and federal reporting requirements
- Collaborates with department staff to develop and maintain integrated data systems that ensure consistent data continuity across departments and platforms, enabling district-wide accountability and decision-making
- Works with staff to design and implement data workflows and processes that improve efficiency and ensure effective use of district systems
- Documents custom reports, integrations, and applications including data sources, logic, and maintenance procedures
- Monitors automated data integrations and troubleshoots issues to ensure data accuracy and system reliability
- Tests and validates data outputs to ensure accuracy and compliance with specifications
- Participates in system upgrades and updates, modifying custom work as needed to maintain compatibility
- Provides technical documentation and training to staff on accessing and using custom reports and dashboards
- Maintains data security and privacy standards in all custom development work
- Participates in data security initiatives including secure data transmission, encryption standards, and FERPA compliance assessments
- Collaborates with IT leadership and other technology staff on data-related projects and initiatives
- Participates in professional development and continuing education on educational technology systems and data management
- Plans and prioritizes work load to meet set deadlines
- Participates in district committees and meetings as needed

Knowledge, Skills and Abilities:
- Working knowledge of SQL for querying relational databases

Minimum Qualifications:
- Associate's degree in Computer Science, Information Systems, or related field AND one year of experience working with databases, data reporting, or educational software systems; OR
- An equivalent combination of specialized technical training and experience which provides the required skills, knowledge, and abilities
Preferred Qualifications:
- Experience with PowerSchool Student Information System administration or customization
- Experience with Google Workspace for Education and Google Apps Script development
- Experience with Tyler ERP or similar enterprise resource planning systems
- Experience with K-12 educational technology platforms and database systems (assessment systems, curriculum platforms, library systems, etc.)
- Experience writing SQL queries for reporting and data analysis
- Experience with web development technologies (HTML, CSS, JavaScript, jQuery, AngularJS)
- Experience with data visualization tools such as Looker Studio, Power BI, or Tableau
- Experience with API integrations and data interoperability standards
- Experience with Python scripting for data processing and automation
- Experience with project management and vendor coordination
- Experience working in an educational setting
- Understanding of student data privacy requirements (FERPA)
Physical Demands:
- Ability to sit at a computer workstation for extended periods
- Ability to occasionally lift and carry items up to 25 pounds
- This is primarily sedentary work with occasional light physical activity
- May require travel between district sites for meetings, training, and on-site support
- May require occasional work outside of regular business hours for system maintenance, updates, critical reporting deadlines, and emergency support
