Administrative Assistant / Tax Administrator (Full-Time, Onsite)

As we continue to grow, we are seeking a full-time Administrative Assistant / Tax Administrator to serve as a key member of our team and help run the day-to-day operations of the firm.

Position Overview

This is a full-time, onsite Administrative Assistant / Tax Administrator role supporting the operational and administrative functions of our CPA firm. This position is essential to delivering an excellent client experience and ensuring the tax team operates efficiently.

The ideal candidate has prior experience working in a CPA firm or tax office, is highly organized, professional, detail-oriented, and comfortable handling confidential financial information. This role works closely with tax staff and firm leadership and is ideal for someone who enjoys structure, responsibility, and being the “hub” of an office.

Key Responsibilities

Serve as primary administrative support for the tax team

Manage client scheduling, follow-ups, and ongoing communication

Assist with new client onboarding and system setup

Prepare engagement letters and client correspondence

Coordinate, scan, file, and track client tax documentation

Assemble and deliver completed tax returns to clients

Track the workflow and status of tax projects and deadlines

Assemble, e-file, and process tax filings (no tax preparation required)

Prepare and process client invoicing and billing support

Handle routine client inquiries professionally and efficiently

Maintain organized records and support overall office operations

Qualifications

2+ years of experience working in a CPA firm or tax office (required)

Strong verbal and written communication skills

Excellent client service and interpersonal skills

Highly organized with strong time-management abilities

High attention to detail and accuracy

Ability to maintain confidentiality and handle sensitive financial information

Professional, dependable, and team-oriented

Comfortable working in a fast-paced, deadline-driven environment
