Job Title: Front Office Coordinator - Plaintiff Law Firm
Job Summary: We are seeking a highly organized and professional Front Desk Receptionist to join our plaintiff law firm. As the first point of contact for our clients and visitors, you will play a critical role in creating a positive and welcoming environment. Your exceptional customer service skills and ability to multitask will be essential in handling a variety of administrative tasks while providing exceptional service to our clients. This position requires strong communication skills, attention to detail, and the ability to maintain confidentiality.
Responsibilities:
- Greet and welcome clients, visitors, and staff with a professional and friendly demeanor.
- Provide excellent customer service by promptly addressing client inquiries, answering phone calls, and directing calls to appropriate staff members.
- Answer all incoming calls promptly and professionally, using a multi-line phone system.
- Direct calls to the appropriate attorneys, staff members, or departments, ensuring accurate and efficient call routing.
- Take messages accurately and relay them promptly to the intended recipients.
- Handle general inquiries and provide basic information about the firm's services to callers when necessary.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Schedule appointments and maintain the firm's calendar, ensuring accurate records and timely reminders.
- Coordinate client meetings, including scheduling conference rooms, preparing necessary materials, and arranging for refreshments if needed.
- Maintain confidentiality of sensitive information and documents.
- Assist attorneys and staff with administrative tasks, such as document preparation, filing, copying, and scanning.
- Assist with maintaining and updating client records, ensuring accuracy and completeness.
- Collaborate with other administrative staff to support the smooth operation of the firm.
- Perform other duties as assigned by the office manager or supervising attorneys.
Requirements:
- Four year degree is preferred
- Previous experience as a receptionist or in a customer service role is preferred.
- Familiarity with the legal industry or law firm environment is desirable.
- Excellent verbal and written communication skills.
- Exceptional interpersonal skills with the ability to interact professionally with clients, staff, and visitors.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Proficient in using standard office software (e.g., Microsoft Office Suite, email, calendar applications).
- Professional appearance and demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and accuracy.
- Ability to work independently as well as collaboratively in a team.
