Records Services Clerk / Recorder of Deeds

JOB DESCRIPTION: The purpose of this position is to provide prompt and efficient customer service to the public for the office of the Recorder of Deeds. As a representative for the Recorder of Deeds, provides document duplication of archived records. Work is performed under the direct supervision of the Assistant Recorder of Deeds.

  • Greet and assist customers needing information on all archived records; assist with department equipment and location of various documents.
  • Answer phones; assist with various inquires.
  • Respond to requests for duplication of all archived records via fax, email, or mail.
  • Receipt, prepare and duplicate all archived record requests to transmit via fax, email or mail; certify on behalf of the Recorder if needed.
  • Receive and post cash, check, credit card, and electronic payments.
  • Support and assist team members daily to accomplish objectives and workflow; including scanning, indexing, and filing.
  • Trains other employees as assigned.
  • Interfaces with vendors regarding maintenance of office equipment.
  • Rotate weekly job assignments to support interdepartmental functions; includes 0-25% telecommuting as operational needs allow.
  • Perform other duties as assigned.

 

REQUIREMENTS:  

Education

  • General or Technical high school diploma or equivalent 

Job Experience

  • 1-3 years of customer-facing office experience, involving data entry and/or word processing.

Knowledge, Skills and abilities

  • Knowledge and training in basic office procedures, keyboarding and computers required.

 

Requires successful completion of Basic Skills Testing. This can be administered in-person or at-home via proctored testing.
