Assistant to the Director of Enrollment
ASSISTANT TO THE DIRECTOR OF ENROLLMENT
Reports to: Director of Admissions
Position Description: The Assistant to the Director of Enrollment provides essential logistical, marketing, and administrative support in student and family recruitment and enrollment activities under the direct supervision of the Director of Admissions.
Responsibilities:
- Serve as a welcoming, knowledgeable ambassador for LFC, ensuring a warm, responsive, and personalized experience for all prospective and current families.
- Respond promptly to inquiries from current and prospective families via email, phone, and in-person interactions.
- Provide clear and accurate information regarding curriculum, programs, application processes, facilities, community life, financial aid, tuition and payments, and general information about Chicago.
- Meet prospective families (Preschool through Grade 12) for private tours and virtual meetings, providing individualized support throughout the application, enrollment, and integration process.
- Maintain consistent communication with families during the admissions and re-enrollment cycles.
- Maintain updated lists of prospective students and applicants; initiate timely follow-up communications with families.
- Collect admissions documents and maintain complete and accurate application files.
- Manage LFC’s online admissions portal and coordinate enrolled-student data with the Registrar.
- Track admissions funnel metrics and ensure data accuracy and reconciliation across systems.
- Generate admissions and enrollment reports (inquiries, applications, acceptances, yield, re-enrollment) as requested.
- Distribute admissions decision letters and assist with collecting enrollment contracts and tuition deposits.
- Track re-enrolled and newly enrolled students and update enrollment and new-family lists.
- Communicate enrollment updates to internal departments, the parent welcoming committee, and the student welcoming committee.
- Support family retention efforts by assisting with re-enrollment communications and transition processes.
- Prepare and distribute orientation, onboarding, and registration materials for new families.
- Prepare for and participate in recruitment activities, including open houses, school fairs, feeder-school visits, retention events, and onboarding events for new parents and students.
- Schedule, coordinate, participate in, and follow up on student evaluations and shadow days.
- Provide logistical support for all admissions and enrollment events.
- Assist with marketing material distribution related to admissions and recruitment efforts.
- Assist with updating admissions-related website content, inquiry forms, and event listings in collaboration with the Communications team.
- Support admissions-related email and social media campaign logistics, as needed.
- Prepare communications to the LFC community and prospective families (mailings, brochures, website content).
- Ensure admissions and enrollment processes comply with school policies, accreditation standards, and applicable regulations.
- Collaborate closely with the Director of Enrollment, Registrar, Division Heads, Finance Office, Communications team, and School Leadership to ensure smooth and coordinated admissions operations.
- Assist the Director of Enrollment with additional duties as assigned.
Requirements:
- Bachelor’s Degree in marketing or communications preferred.
- Exceptional written and verbal communication skills. English and French fluency required.
- Detail-oriented and excellent organizational skills. Ability to prioritize and work under multiple deadlines. Expertise in word processing and spreadsheets. Experience with Finalsiteor similar database management software is preferred.
- Must have proven skills in working independently, and being self-motivated and goal-oriented.
- Ability to handle confidential information with discretion.
- Strong intercultural competence and ability to work with families from diverse linguistic, cultural, and international backgrounds.
- Previous experience in independent schools or non-profit a plus.
- Physical requirements: use of stairs and lifting of up to 40 lbs anticipated during recruiting season.
- Able to work occasional evenings and weekends
Additional Information
- The position is full-time, exempt, and salaried. The schedule is Monday through Friday, with occasional evenings, and weekends (school fairs, open house…).
- Annual salary range of 55-58k
- This is a benefits eligible-position: medical, dental, and vision insurance, 403b with match, and tuition remission. All employees must pass a background check.
