Executive Assistant

Title: Executive Assistant

$25- $30 per hour, part-time hourly, remote role, 20-25 hour per week with benefits

This is a hybrid role requiring both in-person and remote work,

About the Position

 

The ideal candidate will have a strong background in operational duties, Quickbooks invoicing and billing experience, and also be comfortable with assisting and maintaining schedules on behalf of a CEO . A bonus would be experience working for BIPOC communities and a progressive praxis in racial justice, criminal justice reform/ abolition, housing, and worker rights. The position will consist primarily of managing various operational tasks, staff members, and vendors whose questions need to be answered and solved. 

 

Key Responsibilities

 

General

 

  • Providing top-notch assistance, such as writing and editing emails, drafting memos, and preparing communications on the CEO’s behalf.
  • Organize and improve record keeping. 
  • Provide strategic support, advice, and guidance to the CEO, including preparation of materials for internal and external meetings.
  • Work with staff across initiatives to ensure consistency and integration.
  • Liaise with external partners, like insurance vendors, and ensure legal compliance. 
  • Support the upkeep and data entry in an internal CRM system.
  • Manages the executive’s calendar and emails. Also, keeps track of critical reporting deadlines.
  • Provide client relations support for follow-up requests and customer appreciation (holidays, birthdays, etc.)
  • Act as the primary point of contact for all inbound requests. 
  • Miscellaneous duties and tasks as assigned by the CEO, HR, Finance, and Operations. 

 

Operations Duties

  • Develop and maintain a master calendar of important operations, compliance, reporting, legal, and HR dates.
  • Arrange travel accommodations and process expense forms.
  • Sourcing, procurement, and management of supplies, tools, and software needed to improve organizational efficiency.
  • Vendor management and support. Google Console Admin support, and additional technical onboarding items in tandem with HR and IT. 
  • Develop and implement vendor evaluation methods.
  • Serve as the remote office manager and point of contact for office-related matters.
  • Assist IT with data security, employee onboarding and offboarding, and the maintenance of internal IT infrastructure.
  • Maintain inventory records and support loss prevention. 

 

Financial Responsibilities

  • Performing financial-related duties such as procurement support, buying supplies, managing subscriptions, paying expenses and invoices, etc.
  • To promote financial responsibility and provide the necessary support to avoid overspending and wastefulness. 
  • Assist the payroll department by providing relevant employee information. (e.g., leaves of absence, sick days, and work schedules)
  • Processing and sending invoices to clients.

 

Qualifications

  • An Associate Degree. College credit with relevant and equivalent experience will be considered. A Bachelor’s Degree or higher in a related field is preferred.
  • A minimum of three years experience in a related field or similar role 
  • Proven commitment to equity-based initiatives and a passion for racial justice
  • A track record of working with underrepresented communities is required, particularly in BIPOC communities, with demonstrable cultural competency
  • Communications, journalism, social media, writing, design, or other relevant experience
  • Be able to work independently and as part of a team
  • Be comfortable working with colleagues remotely and in person - we maintain office space in the Los Angeles Metro area, but are often on the move!
  • Be a detail-oriented writer who can work across a variety of mediums for a variety of audiences

 

Required Skills 

  • Have proven work experience as an executive assistant, administrative assistant, HR Administrator, HR Administrative Assistant, or relevant role.
  • Previous QBO billing and invoicing experience.
  • Experience with HR software and CRM upkeep (Hubspot).
  • Basic knowledge of labor laws and EEOC laws.
  • Proven understanding of social justice and community-centered work.
  • Experience and comfort working on bold racial justice campaigns that center and unapologetically support Black, Indigenous, and communities of color.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines without reminders.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Proficient with Asana, Monday, or other similar project management software.
  • Proficient with Microsoft Office Suite, Google Suites, or related software.
  • Note: relevant volunteer, grassroots, and short-term experience is acceptable - share it!

 

Compensation 

We believe in promoting from within and are looking to build a long-term relationship with the right candidate and invest in their professional development. The Executive Assistant position is remote and southern CA-based. The Executive Assistant must be willing to travel as needed both in California and elsewhere. Compensation is $25-$30 an hour, for part-time, hourly associates working 20-25 hours per week. We offer a competitive benefits package with several perks for eligible employees:
