ABOUT HUB EVENT & INFORMATION SERVICES

The HUB Event & Information Services (EVIS) prides itself in the flexible nature of its event spaces and the customer service provided to clients of the HUB. This unit is responsible for managing all aspects related to meeting and event spaces and building supervision, including reserving, setting, and maintaining spaces within the building. Additionally, EVIS staff manage the Information Services provided at the HUB Information Desk, which include HUB Info Desk, HUB Lost & Found, HUB Ticket Office, and HUB Bulletin Boards. In the spring, EVIS partners with the UW Office of Ceremonies to provide customer service and administrative support for the UW Commencement Ceremony.

The HUB has an outstanding opportunity for an Event & Information Services Assistant to join our team. 

  • Expected Start Date: April 01, 2026. 
  • Hours Per Week: Up to 19.5 during the academic quarter. 
    • Work hours are varied and on an “as needed’ basis: Monday-Sunday from 7am-Midnight depending on events and role. 
    • Schedules are based on class schedule, events, and other academic/professional responsibilities. Ideal candidates can give at least one academic year commitment at 10-15 hours per week, up to 19.5 hours per week during each quarter. During academic breaks, hours can increase to 39.5 hours a week. Number of hours given a week will depend upon staff availability and building needs.   
    • Employees are expected to attend and complete unit and department training as scheduled. Required trainings may be scheduled on Sundays. 
  • Pay Rate: $21.30 per hour

JOB DESCRIPTION

HUB Event & Information Services (EVIS) seeks an hourly Services Assistant to provide excellent customer service to guests and clients in the Husky Union building (HUB) by supporting the HUB's services and event spaces. 

 

This includes, but is not limited to: Providing quality customer service in person, over the phone, and via email; following specific diagrams and procedures to prepare event spaces for clients; providing directions around the HUB building, across campus, and throughout the greater Seattle area; providing clear and accurate information pertaining to the various UW graduation events and the UW Commencement Ceremony; training in setup and basic troubleshooting for several Audio/Visual systems;  assisting in delivery of academic regalia items to approximately 10,000 graduates; additional administrative and clerical tasks to support services and events. 

 

This position communicates with and assists a diverse group of UW community members and visitors every day. If you are an excellent listener with a flexible mindset, this position may be right for you. 

 

This position may require you to lift up to 50lbs, and often works in an open environments with high sensory input. In spring, some shifts may be scheduled for other Seattle campus locations.

 

Expected start date for these positions is April 1, 2026.

DUTIES AND RESPONSIBILITIES

  • Assist a diverse demographic of guests and clients in person, via phone, and over email.
  • Maintain high standards of customer service and professionalism.
  • Answer basic inquiries about the HUB, UW, and Commencement ceremony, including providing locations & directions, information about services and events, and referrals to other campus resources.  
  • Manage time effectively and work with team members to ensure smooth operation of HUB events & services, including multiple simultaneous tasks and events.
  • Administrative duties such as physical & digital file management, faxing, lamination, mailing, and processing event forms & other paperwork. 
  • Operational support for event spaces including following diagrams & written instructions to accurately set furnishings and equipment, managing room locks/unlocks, and day-of client assistance.
  • Lost & Found item intake, processing, communications, and database management.
  • Act as first responders for any technical issues that arise with HUB services and events, including training on event AV systems operation, and knowledge of HUB software and common errors.  
  • Payment processing, cash register operation, and cash handling.
  • Maintain the cleanliness of work locations and event spaces, including organizing and restocking supplies, taking out trash, vacuuming, sanitizing frequently touched items, and cleaning furnishings & equipment. 
  • Assist in event staffing duties such as line management, room unlocks, or ticket taking.
  • During Commencement pickup week, assist in preparation and distribution of regalia and other materials to students and faculty as needed.
  • Knowledge of policies and standards, how they apply, and ability to communicate these clearly and effectively.
  • Other duties as assigned.

 

MINIMUM REQUIREMENTS

  • Current student enrolled in 6 credits (4 if graduate student) or granted “On Leave” status. 
  • Authorized to work in the United States.
  • Must be able to lift and carry 50 pounds.

  • Attend unit-specific trainings and HUB student orientation/trainings.

 

DESIRED QUALIFICATIONS

  • Previous customer service experience, preferably in a fast-paced environment.
  • Event planning experience and/or experience at event venues. 
  • Any level of A/V experience.
  • Cash handling experience. 
  • Ability to work within philosophy, mission and purpose of the HUB.

SUPERVISION
The position will report to Dylan Richards, Interim Manager of Event Operations and Kysen Henderson, Information Desk Supervisor.
