Business Process Improvement Intern – IT Services (Library)
As an intern with Jefferson County Library, you will contribute to foundational business process improvement work that sets the stage for future system and workflow enhancements. This internship emphasizes information gathering, stakeholder engagement, and the creation of a standardized documentation framework.
The Library Technology and Digital Innovation (TDI) team supports essential public services and involve multiple systems, workflows, and stakeholders. Priorities may shift as needs are identified, and the intern should be comfortable working in a dynamic environment and adapting to evolving project requirements.
Internship Overview (12 Weeks)
Phase 1: Discovery and Documentation Framework Development
Information Gathering
- Conduct stakeholder interviews and observations to identify key library workflows and operational pain points.
- Collect existing process documentation and materials; identify documentation gaps.
Documentation Framework Development
- Create a standardized template for documenting library workflows and processes.
- Define clear guidelines for capturing process steps, decision points, roles, system touchpoints, and compliance requirements.
Initial Inventory Development
- Compile findings into a structured and organized inventory of workflows needing improvement.
- Highlight areas appropriate for future phases, such as Workday optimization or M-Files integration.
Collective Bargaining Agreement (CBA) Considerations
- Identify and document workflow elements that may require alignment with Collective Bargaining Agreement (CBA) requirements.
- Capture known or potential CBA-related adjustments so future work can begin with appropriate context.
Phase 1 Deliverables
- Standardized workflow documentation template and process guidelines.
- Initial inventory of documented workflows and identified pain points.
- Documentation of known CBA-related workflow considerations.
- Summary report of stakeholder input, documentation findings, and prioritized areas for future work.
Future Phases (Beyond Current Internship Scope)
While this internship focuses on foundational discovery and documentation, future phases may include:
- Detailed process mapping and in-depth analysis.
- Recommendations for system alignment, automation, and integration opportunities.
- Implementation planning and presentations to leadership.
General Responsibilities
- Engage with staff across departments and roles to gather accurate process information.
- Handle sensitive operational and personnel-related process information responsibly.
- Produce clear, well-structured documentation that supports informed decision-making.
- Work independently with guidance from IT and Library leadership.
- Collaborate effectively with IT and Library leadership to align work with organizational goals.
- Perform other related duties as assigned.
Essential skills and Minimum Requirements
- Current enrollment in an undergraduate or graduate program with an official internship requirement or academic credit option.
- Availability of approximately 8–10 hours per week for the duration of the internship.
- Strong written communication, organizational, and analytical skills.
- Familiarity with basic business process concepts, documentation practices, or information systems is preferred.
- Authorization to work in the United States.
- Ability to pass a criminal background check.
Internship Details
- Hourly rate: $26 per hour
- Duration: Approximately 12–14 weeks
- Location: Hybrid
