Administrative Associate
Position Summary:
The Administrative Associate ensures the smooth and efficient operation of the building,
programs, and events. This role involves assisting with a variety of administrative tasks and
projects, maintaining organized systems, and providing exceptional customer service at the
front desk. The Administrative Associate serves as a key point of contact for visitors, staff, and
program participants, contributing to a professional and welcoming environment.
Recommended Employment Qualifications:
Associate degree or a minimum of 60 semester hours at an institution of higher education/
college and/or one to three years of relevant office experience required. Such alternatives to
these qualifications as the Board may find appropriate and acceptable.
Principle Duties and Responsibilities:

• Answer multi-line phone system, route calls appropriately, and take accurate messages
when necessary.
• Greet visitors courteously and professionally, providing assistance or directing them to the
appropriate staff or location.
• Schedule conference rooms and equipment; assist external groups using the facilities and
ensure daily schedules are posted on digital displays and meeting room signage.
• Assist with communication using Google Workspace, Microsoft Office, Canva, and social
media platforms to promote CTE programs and events.
• Assist with the Wellness Center, helping coordinate student access and providing support
using coaching techniques and Restorative Practices; serve as a point person for daily
flow and activity in the space.
• Demonstrate knowledge of the Student Handbook; clearly explain and uphold policies
related to attendance, behavior, and academics in interactions with students, staff, and
families.
• Assist in planning student-facing events such as career fairs, open houses, certification
testing, and end-of-year recognitions.
• Provide support in HR-related tasks for CTE staff (onboarding, absence tracking, hiring
support) in coordination with administration.
• Maintain SCECH documentation for CTE Program staff.
• Monitor and manage calendars for the administration; coordinate logistics for travel and
professional development.
