Administrative Assistant

Administrative Assistant

 

Responsibilities:

  • Provide administrative support to the NY-based office, including reception and facilities.
  • Manage team calendar (inclusive of all meetings across firm, send calendar marker, reflect into group meetings calendar to distribute to partners and firm members) 
  • Coordinate extensive travel (international and domestic) and handle any necessary visa work for international travel. Prepare full itineraries (travel, meetings, notes) and car transfers. 
  • Handle registration and preparation for conferences 
  • Process team expenses through Ramp
  • Coordinating with staff in offices around the world including San Francisco, Hong Kong, and Tokyo 
  • Ad-hoc special projects
  • Coordinate internal and external meetings, including agenda preparation, prep materials and follow-ups

 

Requirements:

  • Bachelor’s degree (minimum GPA 3.0)
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Ability to prioritize and make decisions in a fast-paced environment
  • Candidate must be proactive, enthusiastic and team oriented
  • Strong Microsoft Office skills (especially Excel and PowerPoint)
  • Extremely detail oriented 
  • Strong sense of personal responsibility, ownership mentality, reliability, and results-orientation
  • Must be able to prioritize in a fast-paced environment
  • Ability to take direction but also to be independent
  • Willingness to take on what’s needed tosupport the team; being a team player is a must!
