Administrative Assistant
Responsibilities:
- Provide administrative support to the NY-based office, including reception and facilities.
- Manage team calendar (inclusive of all meetings across firm, send calendar marker, reflect into group meetings calendar to distribute to partners and firm members)
- Coordinate extensive travel (international and domestic) and handle any necessary visa work for international travel. Prepare full itineraries (travel, meetings, notes) and car transfers.
- Handle registration and preparation for conferences
- Process team expenses through Ramp
- Coordinating with staff in offices around the world including San Francisco, Hong Kong, and Tokyo
- Ad-hoc special projects
- Coordinate internal and external meetings, including agenda preparation, prep materials and follow-ups
Requirements:
- Bachelor’s degree (minimum GPA 3.0)
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Ability to prioritize and make decisions in a fast-paced environment
- Candidate must be proactive, enthusiastic and team oriented
- Strong Microsoft Office skills (especially Excel and PowerPoint)
- Extremely detail oriented
- Strong sense of personal responsibility, ownership mentality, reliability, and results-orientation
- Must be able to prioritize in a fast-paced environment
- Ability to take direction but also to be independent
- Willingness to take on what’s needed tosupport the team; being a team player is a must!
