Administrative Assistant
Key Responsibilities:
- Greet clients professionally in person, by phone, and via email
- Prepare, organize, and scan client documents and files
- Assist with tax season administrative tasks (mailings, assembly of returns, tracking deadlines, printing acceptance letters)
- Pick up/sort Mail
- Maintain client records and ensure confidentiality of sensitive information
- Perform general office duties such as filing, data entry, and supply management
- Support accountants and partners with administrative needs as assigned
- Shredding documents
- Prepare 1099s (input into CFS payroll software, mail recipient copies)
- General Office upkeep/projects
Qualifications:
- High school diploma required; associate’s degree or relevant coursework preferred
- Previous administrative or office experience (CPA or professional services firm a plus)
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
- Detail-oriented, dependable, and professional
Preferred Skills (Not Required)
- Experience with tax or accounting office procedures
- Familiarity with document management or tax software
- Ability to manage multiple tasks during busy tax season
