Administrative Assistant

     Key Responsibilities:

  • Greet clients professionally in person, by phone, and via email
  • Prepare, organize, and scan client documents and files
  • Assist with tax season administrative tasks (mailings, assembly of returns, tracking deadlines, printing acceptance letters)
  • Pick up/sort Mail
  • Maintain client records and ensure confidentiality of sensitive information
  • Perform general office duties such as filing, data entry, and supply management
  • Support accountants and partners with administrative needs as assigned
  • Shredding documents
  • Prepare 1099s (input into CFS payroll software, mail recipient copies)
  • General Office upkeep/projects

     Qualifications:

  • High school diploma required; associate’s degree or relevant coursework preferred
  • Previous administrative or office experience (CPA or professional services firm a plus)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle confidential information with discretion
  • Detail-oriented, dependable, and professional

    Preferred Skills (Not Required)

  • Experience with tax or accounting office procedures
  • Familiarity with document management or tax software
  • Ability to manage multiple tasks during busy tax season
