Rate: $24-$26 hourly DOE
Role Overview
Our client is an established medical marketing and events agency seeking a full-time, experienced Administrative Assistant. In this role, you will report directly to the CEO and Executive Assistant and interface with company Leadership teams. You will provide comprehensive clerical and administrative support to ensure efficient daily operations. You will also serve as a key point of contact for internal teams, clients, and vendors, correspondence, records, and office coordination with professionalism and discretion.
Key Responsibilities
- Administrative Support: Efficiently manage, organize and draft emails, appointments, and calendars. Schedule and coordinate meetings, appointments, and travel arrangements.
- Document Management: Prepare, format, and proofread reports, presentations, and other documents. Handle data entry and maintain accurate records.
- Communications: Serve as a point of contact for clients and vendors. Respond to inquiries, follow up on communications, and ensure timely and effective interactions.
- Project Assistance: Assist with research, data collection, and project management tasks. Help organize and track project milestones and deadlines. Support Executive Assistant with any task or event projects they may have including after-work events.
- Task Management: Prioritize and manage multiple tasks simultaneously. Adapt to shifting priorities and handle unexpected challenges efficiently.
- Confidentiality: Maintain a high level of confidentiality and handle sensitive information with discretion.
Required Skills
- Proficiency in office software, including Microsoft Office Suite and Google Workspace; familiarity with office equipment and basic project management tools is a plus.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with staff, clients, and vendors in person, by phone, and via email.
- Exceptional organizational skills and attention to detail; ability to manage multiple tasks, prioritize effectively, and consistently meet deadlines.
- Ability to work on-site, both independently and collaboratively, in a professional office setting during standard business hours, maintaining a positive and collaborative presence.
Qualifications
- 1+ years of experience as an Administrative Assistant or in a similar in-office administrative role, with a strong track record of reliability, efficiency, and professionalism.
- High school diploma or equivalent required; associate’s degree preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
