Supply Chain / Purchasing Coordinator

We’re hiring a new graduate to support purchasing and material readiness for machine builds. You’ll use Odoo (ERP) to help manage purchase orders, track supplier lead times, support receiving/documentation, and keep production moving. Odoo experience is a plus, but we can teach it—we care more about follow-through, organization, and the ability to learn quickly.

You’ll work closely with Engineering, Assembly, and Finance to ensure the right parts arrive on time and are properly documented.

Responsibilities

Purchasing & Expediting

Create and release purchase orders in Odoo

Track supplier confirmations, lead times, and shipment dates

Proactively expedite critical items and escalate risks early

Maintain accurate ETAs and communicate changes to the build team

Materials & Build Readiness

Support material planning using BOMs and build schedules

Maintain a shortage list and help drive weekly “parts readiness” reviews

Coordinate substitutions or alternates with Engineering when needed

Receiving, Documentation & Quality Support

Ensure deliveries are received and matched to POs (packing slips, quantities, revisions)

Track required documentation: COC/COA, material certs, inspection reports

Flag nonconforming shipments and support supplier returns/replacements

ERP Data Quality (Odoo)

Help maintain vendor records, part numbers, lead times, and pricing in Odoo

Support basic inventory accuracy improvements (location discipline, cycle counts)

Assist with simple reporting/dashboards (Odoo + Excel)

Finance Coordination (QuickBooks Support)

Coordinate invoice matching (PO/receipt/invoice) and resolve discrepancies

Work with the finance team on vendor bills and documentation
(QuickBooks experience is helpful but not required.)

What We’re Looking For

Required

Bachelor’s degree (or graduating soon) in Supply Chain, Operations, Business, Industrial Engineering, Mechanical Engineering, or related

Strong organizational skills and follow-through (you close loops and keep records clean)

Comfortable with spreadsheets and basic reporting (Excel)

Clear communication skills for supplier emails/calls

Able to work on-site in Hauppauge, NY

Preferred / Bonus

Any ERP exposure (Odoo, NetSuite, Epicor, SAP, etc.) — Odoo is a plus

Internship/co-op experience in purchasing, planning, or manufacturing

Familiarity with BOMs, drawings, part revisions, or machine-shop environments

Interest in precision manufacturing, machining, automation, or machine tools

What Success Looks Like (First 90 Days)

You can run an open PO list in Odoo and keep ETAs accurate

Past-due and long-lead risks are flagged early (no “surprise” shortages)

Receiving paperwork and cert tracking is consistent and easy to find

Assembly team feels better supported and schedules become more predictable

Tools You’ll Use

Odoo (ERP) — purchasing, receiving, inventory, vendor records

Excel — tracking, dashboards, and follow-up lists

QuickBooks — invoice support / coordination with finance (secondary)
