About the Role

The Human Resources (HR) and Payroll Specialist will play a key role in HR operations, with a focus on the seasonal workforce, ensuring effective maintenance and management of HR systems, accurate and timely payroll processing, maintenance of employee data, benefits administration support, efficient onboarding/offboarding workflows, and accurate schedules and associated details. 

This role requires Human Resource Information System (HRIS) expertise, proficiency in reporting, and the ability to support compliance and HR operational needs across multiple states and employee types. This role is the key system administrator and owner of our HRIS (Paycom) across all modules. This position reports to the HR Manager. 

 

Key Responsibilities

In this role you will:

  • Process payroll accurately and on time for the company, working with the instructor on-boarding and payroll specialist. 
  • Maintain and update employee data within our HRIS (Paycom) system to ensure accurate recordkeeping, reporting, and compliance. Perform system integrity checks, process design, and compliance audits across Paycom.
  • Partner with operations managers to ensure accurate timekeeping, compliance with employee punches, and adherence to break and work-hour regulations.
  • Manage the Paycom Scheduling module, including ensuring data integrations work accurately and efficiently and setting up and validating accuracy of labor allocations, custom data fields (availability/qualifications), and compliance rules.
  • Prepare and distribute regular time and variance reports to provide leadership and managers with visibility into hours worked, schedule variances, and key areas to address. 
  • Support onboarding, orientation, and offboarding processes for all employees, ensuring smooth transitions and proper documentation. This includes system generation of offer letters/contracts, coordination of access, and managing the overall onboarding process experience.
  • Assist HR Manager with benefits administration, including enrollments, terminations, leave management, and open enrollment processes.
  • Assistant HR Manager with Workers' Compensation and other insurance administration (e.g., rate updates in Paycom, gathering required insurance compliance documents such as proof of individual auto insurance coverage).
  • Help to ensure company compliance with federal, state, and local employment laws and internal HR policies and support multi-state tax administration. 
  • Support employee relations matters and act as a resource for managers and employees regarding HR procedures, payroll, and benefits inquiries.
  • Conduct system training on Paycom modules. 
  • Generate reporting for invoices, audits, leadership, and the Board of Directors. 
  • Collaborate with HR Manager on projects, audits, and process improvements to enhance HR operational efficiency.

 

Qualifications and Experience

  • 2–4 years of HR and payroll work experience, preferably in multi-state operations with seasonal or temporary staff.
  • Hands-on experience with an HRIS system (Paycom highly preferred) and payroll software.
  • Background as a system administrator managing one or multiple systems. 
  • Proficient in Microsoft Office with expert level in MS Excel required.
  • Experience in managing multi-stakeholder or cross-departmental projects from conception to completion.
  • Strong organizational skills, attention to detail, and ability to manage deadlines.
  • Excellent communication and customer service skills.
  • You are based in the U.S. and have the ability to work full time from your home office. 
  • You have substantial experience with running payroll.
  • Interest in using Artificial Intelligence (AI) tools is preferred. (AI expertise is not required, but curiosity and willingness to experiment is.)
  • Bachelor’s degree in a relevant field is preferred.

Compensation: $60,000-$72,500

Job Type: Full-Time Exempt
