Event Coordinator (Fellowship)

Department: SALES/PRODUCTION   FLSA Status: Non-Exempt

Date Available: January 2026.  Reports to: Director of Accounts

COMPANY: Entire Productions is an experiential event and entertainment production company offering design, planning, and production services. DESCRIPTION: As the Event Coordinator, you will engage in a variety of work as it relates to the daily operations of the company, as well as production coordination, including on-site management of talent and day-of-event support (if in the SF Bay Area). Duties will encompass a variety of responsibilities, including sales-related administrative tasks, creating aesthetically pleasing, accurately detailed presentations, supporting sales leads during client walk-throughs and venue site visits, and working with both clients and artists on event details. This role has immense growth potential into the Sales, Production, or Marketing divisions at Entire Productions.

WORKS DIRECTLY WITH: The Sales and Production Teams

JOB RESPONSIBILITIES:

  • Assisting the Sales team with their daily activities
  • Assist in creating proposals using Canva
  • Adding client contact information to our database
  • Attend as-needed on-site walk-throughs
  • Attend events as onsite production manager
  • Plan and communicate logistics to the vendors
  • Preparing and sending client and vendor event agreements
  • Provide creative support for sales and production team including but not limited to creating marketing/capabilities collateral, proactively sourcing and qualifying new talent, participating in discovery calls and pitch meetings
  • Occasionally attend industry networking and educational events to represent Entire Productions’ brand
  • Demonstrate an understanding and commitment to contribute towards overall company quarterly and annual sales goals
  • Display a strong understanding of Entire Productions' values, industry acumen, and professionalism

REQUIRED QUALIFICATIONS

  • Acute attention to detail.
  • High emotional intelligence
  • Fluent in Word, Excel, Google products, and other online-based applications.
  • Strong multi-tasking, assessment, and prioritization skills.
  • Possess a professional manner and appearance when representing Entire Productions with clients and partners
  • Ability to maintain confidentiality and a high level of business ethics.
  • Adaptable to change and enjoys working in a fast-paced environment
  • Self-motivated and capable of working independently with minimal supervision
  • Team player with a strong presence/personality.
  • Excellent verbal and written skills with the ability to communicate at all functional levels.
  • Ability to apply common sense understanding to carry out detailed but involved written or oral instructions.
  • Ability to anticipate and deal with problems involving few concrete variables in a typical office situation.
  • Must have access to a car, a valid driver’s license, and be authorized to work in the US.
  • Comfortable working in a mostly remote-environment with the ability to attend in-person meetings, site walks and events, plus work-together days on an as-need basis

License/Certification:

  • Driver's License (Required)

DESIRED COMPETENCIES/QUALIFICATIONS

  • Bachelor's degree in a related field
  • Knowledgeable about event and entertainment production
  • Knowledge of Salesforce or similar CRM applications
