Program Assistant, Kinship Support Services

Program and Role Summary:

Wayfinder’s Kinship Support Services Program is a kinship navigation service for grandparents, extended family members or close family friends who step up to raise children so they avoid the trauma of separation from their birth family. The program also assists kinship families that form voluntarily, without the assistance of a child welfare agency. Our program offers counseling, assistance with basic needs, support groups and workshops, respite resources and more. Kinship families are more stable, and children maintain their family connections, which produces better long-term outcomes.

 

The primary focus of the Program Assistant is to provide administrative support to the program and be responsible for record management services focusing primarily on data entry and maintenance, preparing data for reports, and creating and updating relative contact logs and family builds. This position provides various administrative, and staff support services at the program level.

 

Primary Responsibilities:

  • Greets visitors, takes telephone calls, and refers visitors and callers to appropriate staff or offices.
  • Support the office administrative team with tasks as needed to ensure the smooth operation of the office, including but not limited to ordering supplies, operating a variety of standard office machinery, and maintaining inventory of office supplies, books, food, and beverages.
  • Coordinates, plans, and executes community events and agency functions.
  • Updates and maintains client information in the required database(s).
  • Accounts for various documents for tracking purposes, telephone inquiries, training events, purchasing/returns, and generates reports as necessary.
  • Assists in coordinating, organizing, and logistical support of ongoing groups and program activities, such as arranging meeting space, confirming attendance, and providing additional support.
  • Supports program with collection/distribution of data, communications, coordination of meetings and materials, sorts and files all correspondence, reports, records, documents, or other materials, and searches files to retrieve information as requested.

Education and Experience:

  • At a minimum, a high school diploma is required; a bachelor’s degree is preferred.
  • Bilingual (Spanish), required.
  • Program-related support experience is preferred.
  • Experience with the dynamics of kinship, foster and adoptive families, and special needs children preferred.
  • Experience in office support work, including live scanning, records, and data familiarity, is preferred.
  • Valid CA Driver License with a minimum of three (3) years good driving history and must be approved by the agency’s insurance carrier to drive agency vehicles.
