Office Assistant
The Dean of Students Office is hiring a paraprofessional Office Assistant. Office Assistants are the first point of contact for students, families, employees, and external constituents to the Dean of Students Office. This role allows students to work a flexible schedule right on campus and gain transferable skills for future careers.
Job Functions Include:
- Manage the Dean of Students Office reception desk during open office hours, Monday-Friday 8AM-4:30PM. This includes but is not limited to: answering phones; greeting guests with a positive and professional manner; being knowledgeable of Dean of Students and UWM services and procedures to make appropriate referrals; keeping the reception desk and waiting area orderly and tidy; and scheduling appointments.
- Provide first contact services. This includes but is not limited to: greeting all visitors; collecting information from callers and guests; assisting guests in finding the appropriate resources; and providing any necessary forms/applications.
- Provide case intake services. This includes but is not limited to: asking questions and investigating situations to gain further understanding of students’ concerns; gathering sensitive information from students/families/employees; maintaining accurate records; determining when situations require an immediate response from a Dean/Associate Dean; entering information into the database case file; and compiling information from other campus offices.
- Complete daily office duties. This includes but is not limited to: checking and responding to messages left on the Dean of Student e-mail account; checking and responding to voicemail; delivering/distributing campus mail; office opening/closing procedures; checking calendars of all Dean of Students Office staff members; and completing projects assigned by Administrative Case Manager.
- Complete weekly/regular office duties. This includes but is not limited to: data entry; file creation and updates; copying; scanning; shredding; maintaining updated information and postings in the Dean of Students reception area; checking stock of office supplies; and staffing the Dean of Students table at campus events.
- Provide administrative support. This includes but is not limited to: maintaining staff calendars; completing special projects; completing administrative duties—such as returning calls, following up with students, preparing mailings, data entry, updating case files; and assisting with updating Clery training roster.
- Maintain confidentiality of all Dean of Students Office cases, records, conversations, and student situations.
This position utilizes critical thinking through the analysis and evaluation of information from multiple sources (emails, schedules, records, and policies) to navigate complex administrative situations, resolve challenges efficiently, and anticipate potential outcomes to support smooth office operations. · This position will require the candidate to utilize communication skills to determine appropriate communication methods (in-person, phone, email, and written correspondence) to communicate clearly, transparently, and with empathy across diverse settings to ensure understanding.
